When do evaluations open?

Meeting pattern dates determine when evaluations will open. The dates are set automatically based on the chart below.

Class Length / Open Date
7 or less days / Meeting start date
Less than 43 days / 7 days before the meeting end date
More than 44 days / 21 days before the meeting end date

When do evaluations close?

The evaluation will be closed to student submissions 4 days before the meeting end date. This applies to all classes and all terms.

When are evaluations released?

The results of the evaluation will be released to instructors by Smarter Services 7 days after the close date.

Are all students eligible to complete an evaluation?

All students can complete an evaluation, regardless of class size. Instructors areunable to view which students have completed the evaluation before the release date if less than 5 students respond.

How are students informed about evaluations?

An initial email is sent to students when the evaluation opens. A follow-up email, reminding students to complete the evaluation, is sent every 7 days after the initial email until the evaluation closes. If the period of time between the evaluation start and close date is less than 7 days, no follow-up emails will be sent.Follow-up emails are no longer sent once the student completes the evaluation.

How are instructors informed about evaluations?

Instructors receive an email on the day the evaluation is opened. They also receive an email on the day the evaluation is released, informing faculty they can view the results.

What is the template for the final email instructors receive to inform them the Evaluation has opened?

The end-of-term class evaluations are open and students will receive a message with the link to the survey {DirectAccessLink}. Please encourage your students to compete the questionnaire by letting them know that you use the information to improve your class.

Thank you for encouraging your students to complete the SETE end of term class evaluations. Your reports are ready for your review at the link below. Where are instructions located for creating separate evaluations that meet the specific needs of a class and will be requested of students in addition to the standard SETE evaluation?

What is the business process for Mapping Evaluations?

Evaluation Mapping is completed in PeopleSoft. Once LOUIE is accessed, navigate to Curriculum Management > Schedule of Classes > Maintain Schedule of Classes.

Enter the term, subject and catalog number and click on search.

Go to the Meetings tab.

The meeting pattern states the instructor(s), the instructor role, print option, access and evaluation checkbox. If the class has multiple meeting patterns, the evaluation checkboxes must be identical for each meeting pattern.

All primary instructors are automatically mapped to receive an end of term evaluation. If the primary instructor should not be evaluated (i.e. a primary instructor for an independent study class), then uncheck the Eval box to opt out. By default, secondary instructors (SI) and teaching assistants (TA) are not checked to be evaluated. If a SI or TA should receive an end of term evaluation, check the Eval box at the end of the row where the instructor and role are present.

What report can be accessed to review which instructors are or are not checked to be evaluated?

The Schedule of Classes report in Enterprise Reporting should be reviewed to verify which instructors are or are not checked to be evaluated. The navigation is My Favorites < Public Folders < LOUIE-Student Reports < Course and Class Information Scheduleof Classes.

Select the term, subject, and campus and run the report. The instructor, instructor role, and Eval checkbox are shown for each class. Mapping should occur during the class build. If it isn’t completed by that time then it must be completed prior to the start of the class or start of the term, whichever occurs first.
