Administrator / Office Manager - Job Description

The Dublin Rape Crisis Centre is a voluntary organisation which exists to prevent the harm and heal the trauma of rape and sexual abuse.

This is a full time position where the key responsibilities of this role will change between year 1 and subsequent years.

At present the administrator role will be job-shared with the existing post holder who will work 2 days a week in the role, with the successful applicant working the remaining three days per week in that role. Over time the administrator role will become a full time one. The successful applicant will also be required to undertake the implementation of two key projects for the Centre: the delivery of a quality mark for the Centre and, working with those responsible for installation, to ensure the successful implementation of a new IT system.

Key Responsibilities of the Role:

·  General admin

o  Managing the information flow into and out of the organisation.

o  Premises and equipment management

o  Stocktaking

o  Secretarial support to the clinical staff.

o  Management of administrative & communications databases.

o  Management of reception rosters and associated duties.

o  Logistical arrangements for Centre events and publications

o  Logistical arrangements for meetings

·  Health & Safety

o  Dealing with health and safety issues

o  Fire safety officer

·  Reporting & Monitoring

o  Assisting CEO in compiling reports to funders and statutory authorities

o  Assisting CEO in complying with the Governance Code for Voluntary Bodies

·  Board functions

o  Arranging and attending board meetings including taking minutes, following up out-standing items

And any other functions or duties that could reasonably be required in addition to the above.

Project work for 2 days weekly

: Building, gathering and annotating material of the Centre sufficient to allow it to meet quality standards.

: Ensuring implementation of the planned installation of up to date IT system, including software, and arranging for the population of the new system with relevant data, including data inputting and data transfer as necessary.

Skills:

-  3 years’ experience of working as an office manager or administrator

-  Familiarity with software packages including MS Excel, MS Word and CRM systems.

-  Knowledge of Accounts

-  Excellent organisational and communications skills.

-  Capacity to work autonomously and uphold reporting deadlines

-  Capacity to work as part of a wider team delivering results

-  Highly motivated with an ability to multi-task and strong attention to detail

-  High degree of professionalism, diplomacy and confidentiality

Salary commensurate with experience.

Working week: Monday to Friday 9am to 5pm with occasional late evening work when attendance at Board meetings is required.
