Drama Performance Volunteer One-Pager

Sets – Volunteers will assist with the creation of scenery pieces for the production. Volunteers will work with the Chair to fulfill Mrs. McKenna’s vision for the set and oversee set crew students who are responsible for running set and curtains during performances.

Costumes – Volunteers will help locate, coordinate, and organize costumes. Costumes will be fit and assigned to children during Playbill class or rehearsals. Costumes will be organized and labeled according to character. Help is also needed to collect the costumes after the final performance and put them away.

Meal/Snacks – Plan, order, receive, serve, and clean-upfood during Tech Week rehearsals.

Concessions – Responsible for ordering, setting up and selling concessions before shows and during intermission.

Fan Mail – Help sell and assemble Fan Mail during student lunch periods on Thursday and Friday and before performances and during intermission. Help distribute Fan Mail into boxes before each show ends. Chair will obtain items needed for Fan Mail (flowers and candy). Coordinates with Concessions.

Signs & Posters– Chair will order yard signs and will help distribute themto the cast and crew; place signs around each HPISD campus and other community spots as designated. Coordinate the printing of Cast Posters with cast member names to be given at Cast Party; Help with distribution of performance t-shirts.

Props – Volunteers will help secure items requested by Director. Many items can be found in the prop closet.

Back Stage(Dressing Rooms and Cafeteria) – Volunteers help with costume changes, and crowd/noise control in cafeteria behind auditorium prior to and during shows. Keep track of show sequence. Ideally, at least one boy mom and one girl mom will be assigned to the dressing rooms for each performance.

Hair and Make-up – Volunteers will help apply make-up and style hair before dress rehearsal and performances.

Tickets – Chair will order tickets, and distribute pre-orders to the cast and crew. Volunteers will help sell tickets to the performances during student lunch periods the week of the show and before performances.

Ads/Program – Coordinate the layout and design of ads for the program; Oversee the production and printing of the Playbill program.

Cast Party – Chair will handle ordering and set-up of food and drinks, and scheduling a DJ if necessary. Volunteers will also be needed to assist with assembling Cast bags, chaperone and clean-up.

Usher – Volunteers will pass out playbills at each auditorium door and take the tickets for each show.

Foyer Decoration – Help decorate the auditorium doors and foyer in the theme of the musical performance.

Photography – Take individual pictures of cast and crew members. Mount on lobby cast board. Coordinate with Foyer Décor Chair. After last show, remove photos and give to cast members at Cast Party.

Publicity–Draft press release; get approved by Theater Director; send release to HPISD and local news outlets; schedulephotos to be taken by student photographers (yearbook) for HPMS and HPISD publications. If publicity posters created for show; distribute them to local businesses.
