The Foundation is seeking a full time Receptionist. Reporting to the Vice President, Finance & Operations, the position of Receptionist & Administrative Assistant is responsible for providing reception, telephone, and administrative services for the Foundation. The incumbent must be able to work in a fast paced environment with frequent interruptions.
Duties and Responsibilities:
· Appropriately greet and welcome Foundation volunteers, donors and the general public
· Answer telephones and appropriately redirect calls
· Accept in person donations and issue temporary receipts on request
· Collect and distribute the mail
· Make deposits on a daily basis as a key element of the 48 hour standard
· Maintain file of post-dated cheques for deposit
· Assemble thank you letters and receipts
· Assist in accounts payable/vendor cheque process
· Book meetings & maintain schedule for Conference Room
· Order supplies (includes monitoring stationary supplies and reordering in appropriate quantities)
· Maintain petty cash
· Enter demographic updates to fundraising database
· Provide oversight to office tidiness & keep storage room organized
· Prepare and send courier packages
· Maintain reference binders of Board and other Board level committees minutes
· Call monthly donors for new credit card numbers/expiry date and updated bank information
· Provide administrative support to VP Finance & Operations, as required
· Provide clerical assistance to fundraising and stewardship events, as required
· Provide database data entry assistance during high volumes
Qualifications and Skills:
· Strong interpersonal and organizational skills
· Strong customer service orientation
· Strong word processing skills preferably in MS Word
· Experience with data entry in Raiser’s Edge or other fundraising database an asset
· Working knowledge of EXCEL
· Accuracy and attention to detail is a must
· Ability to work with frequent interruptions
