The Oregon Tradeswomen, Inc. (OTI) is seeking an experienced and professional Office Manager.

The Office Manager manages and prioritizes support for a busy non-profit of thirteen staff with tact, caring, teamwork and clear communication, and provides administrative program support. This position is a full time salary position with occasional evening and weekend hours, and some flexibility in schedule. Salary is negotiable commensurate with experience.

Organizational Background:

Oregon Tradeswomen, Inc. is a membership based grassroots non-profit that seeks to bring women into the high-skilled, high-waged building, construction, mechanical and utility trades through organizing, peer support, coalition-building, community education, training and placement services. Our three programs are: Pathways to Success - helping adult women to enter and succeed in the trades, TO GO - increasing career options for girls by educating them about trades careers and T.O.O.L.S. - leadership development for tradeswomen in order to provide a tradeswomen's voice at the policy table as well as support for a safe and equitable work environment.

Based in Portland, Oregon, at 3934 N.E. Martin Luther King, Jr. Blvd, Oregon Tradeswomen, Inc. works with tradeswomen and their allies around the state and in SW Washington, in coalition with sister organizations nationally, and in local coalitions with people-of-color organizations. Our mission is to promote the success of women in the trades through education, leadership and mentorship.

Responsibilities:

Performs reception, clerical and administrative services for the organization, coordinating as needed with other administrative and back-up reception staff.

Ensures a beautifully maintained and attractive office space, engaging other staff, volunteers, and vendors as needed, and managing relationship with landlord

Manages office informational technology including work with vendors, troubleshooting the day to day issues on the employee computers and the organization’s server.

Manages operations and maintenance of office machines and equipment, and instructs other staff in their use.

A “super-user” of Word, Excel, e-mail and other programs, and assists staff with training/using.

Manages office supplies, purchases & contracts with vendors. Knows details of contracts and interprets for other staff (such as for phones, insurance, healthcare, cleaning, etc.)

Administers data base (FileMaker Pro) with assistance of technical vendor & maintains up to date information about contacts and customers.

Manages storage of hard copy and electronic records and files.

Light bookkeeping.

Performs routine donor and membership correspondence.

Provides administrative and secretarial support for the Executive Director and Building Girls Program Manager, including assistance with internal and external meetings and events.

Provides a key role in administrative support for the Women in Trades Career Fair event including event logistics, rentals, school registration, selecting and managing caterer.

Other duties as assigned by the Executive Director.

Qualifications:

Minimum two years of experience as an Office Manager and at least one in data base administration.

General knowledge of the principles and practices of office management, including administrative & clerical procedures and systems, work organization and simplification, space utilization, and inventory control.

General knowledge of Information Technology systems; experience with problem-solving and interfacing with IT vendors.

Excellent customer services skills.

Skill in composing memos, letters, and other correspondence.

Effective written & oral communication with a variety of people at all levels.

Ability to maintain confidentiality of agency and/or personnel records.

Excellent problem solving skills and sound judgment.

Ability to work independently.

Pride in being an administrative professional.

Demonstrated commitment to women’s empowerment and racial justice.

Salary & Benefits

This position is a full time salary position with occasional evening and weekend hours. Salary is negotiable commensurate with experience. The position has the following benefits during the time of employment: OTI pays for medical and dental coverage through Providence Health Plans. Vacation entitlements are two weeks vacation for the first two years, three weeks in the third & fourth year and four weeks after completing four years. We honor ten paid holidays. Ten days of sick leave accrue each year. We offer a Simple IRA 3% match retirement plan. Great atmosphere and work environment!
