MINUTES OF COMMITTEE MEETING MONDAY 14th MARCH 2016 HELD AT THE IGTC

CLUBHOUSE at 5pm.

APOLOGIES FOR ABSENCE: Mike Large & Ellie Cochrane.

MATTERS ARISING FROM AGM:

Penny will obtain another sign to replace the one damaged at the end of Coldharbour Road.

Dick will bring the Wimbledon draw back in house.

Penny will purchase another key pad lock for the clubhouse door & get Mike Brown to repair the door.

MATTERS ARISING FROM LAST COMMITTEE MEETING:

Penny had fliers printed for distribution at the end of March to local schools, shops & towns.

There was a general discussion regarding what other clubs were doing to promote themselves.

It was agreed that Dick should ask Tony to provide a proposal for the provision of adult coaching at the Club.

APPOINTMENT OF OFFICERS:

Stephen Oakes to take over as Treasurer from Nick who remains on the committee. Lloyd will continue as Tournament Secretary, Mike Large as Membership Secretary, Dick as Secretary & Penny as Chairperson.

CHAIRMAN'S REPORT: Nothing to report.

SECRETARY'S REPORT: Nothing new to report.

MEMBERSHIP'S SECRETARY REPORT:

Mike reported through Dick that the new membership fees for 2016 were coming in but too early to report on numbers. It was agreed that Stephen would liaise with Mike regarding the renewals and that Gill would liaise with Mike about sending out reminders before Easter to people who had not renewed their membership.

TOURNAMENT SECRETARY'S:

Lloyd was planning to arrange a Mens Doubles & Ladies Doubles [ with Kathy Evans] tournament later in the year. They would be half day tournaments. No Mixed Tournament as did not attract enough support last year. Lloyd suggested an American tournament also for a half day. He would contact Ros to find dates that did not clash with Wealden League matches. Turn up & play with small entrance fee, perhaps £1, & nice prizes. It will be advertised to attract a good turnout.

HEALTH & SAFETY REPORT:

There were no issues to report.

ADMIN SECRETARY'S REPORT:

Gill will be in contact with Mike regarding reminders to members who do not renew their membership fees.

AOB:

Brian Holmes one of the IGTC three Trustees wants to resign. Dick confirmed that the Club Rules state that it is the responsibility of the Trustees to find a replacement. They will need legal advice & he suggested the Trustees should approach Clive Harvey one of our members. Penny said she will talk to the Trustees and Auditor.

It was agreed to reappoint Gill Tremenheere as our Admin Secretary and that we need to do this each year at the request of our Auditor Charles Trollope.

Penny updated the committee regarding our negotiations with the Benenden Hospital regarding our use of their courts. Dick had on record the recent exchange of emails and Penny has been invited to a meeting with Jane Abbott, manager of the Benenden Hospital in April. She confirmed that our present arrangements for coaching would continue until the course finishes at Easter. Dick & Lloyd, if available, would go with Penny to the meeting.

Penny reported that the Wealden Sports Centre was not an option but an alternative may be Benenden Girls school for our winter evenings Junior coaching sessions with Tony Cherry if we can not come to an agreement with Benenden Hospital. The committee agreed that their present terms were not acceptable.

There followed a discussion regarding our IGTC website which the committee felt needed updating & in particular needed some photos. Dick said he would speak to Rohan to get his advice.

Penny agreed to ask Ellie if she would take on the job of Social Secretary. There was a discussion regarding having a BBQ after a Club morning or another dinner dance or perhaps a function in the Iden Green Pavilion as we already pay to have access to use it.

The meeting closed at 6-45pm.
