Pre-season Fall SSC meeting, August 8th, 2017

Tim Lewis called meeting to order at @ 7:35pm
Introductions of board members with primary role highlighted (missing Mark Cervione, Janet Werenski, Debbie Viets, Nancy Chamberlain- Sandy replacing as Registrar this year)
David Sullivan, SHS Varsity Soccer coach introduced himself, discussed upcoming camp run by his SHS soccer players, anyone interested should email David with information and mail or bring check to camp, info is on SSC site. All girls are encouraged and welcomed to participate.
All present voted in favor of re-electing Chris Potter as VP and Joe Gnatek as treasurer.
Coaches completed sheet for rankings and primary contact info.
Tim discussed upcoming changes to field sizes, # of players, goal sizes, etc. Document will be sent out with specifics to review, this has been sent out to all refs, please be understanding if other towns do not have same goal or field size, we can let the kids play.
Coaches are responsible for parents on sidelines, make them aware of sideline expectations at start of season, refs will give initial warning first to address inappropriate behavior, then person or persons will asked to leave, and finally coach will have to escort person off field if they don't, these will be reported so again if issues occur email SSC board member. Refs will be submitting reports online after each game, if there is an issue please report it to a SSC board member so they are informed and able to respond appropriately.
Coaches need to have player passes and rosters for all games.
SSC Registration fees cover one tournament for the year, 2017-2018, all teams are encouraged to do at least one tournament, no refunds will be given if no tournament is played. Fall may be best time to do tournament as teams sometimes struggle with #s in the spring due to other sports.
Dates to remember for fall season…
9/10 is Park & Rec road race starting at SMS in morning, there may be traffic that morning so be careful scheduling 9am games if at SMS.
9/16 fun run in town in evening to raise money for Jimmy Fund
9/30 PMC pasta dinner
Looking into scheduling a Hartford Hawks game, info will be sent out once date is confirmed.

Sandy discussed CT Cup info...
Cup tournament is for U11 and up
Deadline for entry 8/28, club will reimburse $75 reg fee, late registration fees will be higher and at coaches expense so need to register on time, coaches can pay via credit card, submit registration to Joe Gnatek for reimbursement and to Sandy Carroll for roster submission.
Cup rosters freeze on 9/12 @ 3pm
Cup draw date is 9/14
Play starts 9/23
Finals 11/4 in Farmington
Teams playing in any Labor Day tournament need to inform Sandy Carroll & Nancy Chamberlain asap, those teams will be registered first to get rosters and passes done.
If registering for a tournament send payment verification to Joe for reimbursement.
Background checks need to be done asap for new coaches and managers, sometimes take up to 3 weeks, all coaches and managers need to be cleared prior to working with players. Sandy will email to those who have not completed yet, some may have expired…

Many teams are missing documents for many players, managers need to reach out to those families and get info to Sarah (91 Pleasant View Drive- place in bin on front step)
Need photos of all coaches and managers asap if not submitted already, coaches and managers have CJSA passes as well. (please get to Sarah- address above)
Dan Sullivan discussed importance of having a parent meeting at first practice, even ok to include the players as well so everyone know what to expect, also a good idea to put it in writing and to pass out. Discuss expectations for practices and games, playing time, coaching philosophy etc.
If coaches need help please reach out to Dan, he an assist or find someone who can assist, can access SHS soccer players to help them reach needed volunteer hours.
Tricia Martin informed everyone that league schedules should come out on 8/28. If anyone has game scheduled for early Sept need to send her game info by 9/3. Teams are allowed 3 home friendly games in fall.
There is a shortage of refs, SSC has increased rate so hoping it will help. Opposing team would need to protest BEFORE start of game if there is an issue.
There are AEDs located at fields, brief demonstration given showing AED, they are serviced and provided by SVAA.
League play begins weekend of 9/9
League ends on 11/12- all league scores home and away need to be entered in before midnight on 11/12 to prevent fees.
Final schedules need to be sent to Tricia by labor day weekend, get to her sooner if possible, send to her in excel spreadsheet.
Chris Potter has equipment for teams, if anyone needs additional ice packs or if they are missing equipment reach out to him.
Sarah offered assistance to new managers, contact her for help if needed, will set up meeting to show how to use SSC website.
