We are Into Film
Into Film is an education charity that puts film at the heart of children and young people’s educational, cultural and social development. Working with the education and informal youth sectors, we provide 5-19 year olds with unparalleled opportunities to learn through and about film.
Our ambitious UK-wide programme includes a network of extra-curricular film clubs, educational resources, training opportunities for teachers, a cinema-based film festival and the annual Into Film Awards. To our knowledge, no other UK-wide cultural education initiative has such a high take-up by schools and youth groups, with a network of over 15,000 registered film clubs alone. We work with a range of partners in England, Northern Ireland, Scotland and Wales, in addition to the UK film industry and several high profile ambassadors.
Our work is supported principally by the BFI through the National Lottery, and by other film organisations including Cinema First.
The Role
The Finance Coordinator position will work closely with the Finance Manager. The Finance department is extremely busy and our ability to accurately forecast and report on our financial position is central to our continued funding conditions and success. The primary function of the Finance Coordinator role is to carry out day-to-day, weekly and monthly scheduled tasks, assisting and supporting the Finance Manager to ensure that the Finance department meets the demands of our very busy expanding organisation.
Responsibilities:
- Manage the purchase and sales ledgers through Sun System, to distribute invoices to the appropriate Directors for authorisation, and to input them to the system before processing payment;
- Run weekly and monthly payments and ensure that all necessary payments are made accurately and on time, through the Bacsor by cheque;
- Manage staff and external expenses, ensuring all expenses have the necessary receipts and authorised for payment;
- Monitor credit card transactions, ensuring all receipts are provided and reconcile the credit card accounts on a monthly basis;
- Update the asset register and post monthly depreciation journals;
- Prepare monthly bank reconciliations and post accruals and prepayment journals;
- Assist the Finance Manager in preparing quarterly VAT returns;
- Ensure the trial balance is update at the end of each month;
- Assist with monthly payroll processing;
- Assist with year-end audit preparations;
- Manage the filing system, ensuring that all paperwork is easily accessible;
- Undertake any other reasonable duties assigned.
The tasks required of the post holder may develop and change as necessary.

- Assist in establishing a commitment to quality throughout the organisation internally as well as in relation to all dealings with the public, members, teachers, trainees, partners, funders, supporters etc.;
- Contribute to long term planning to ensure that Into Film grows in line with demand and available resources;
- Contribute to the monitoring and evaluation of Into Film with sufficient regularity to benefit and improve the quality and targeting of the work and report to funders and stakeholders;
- Contribute to the development of Into Film’s Equal Opportunities Policies and establishing a culture of equality of opportunity;
- Carry out any other reasonable duties assigned by Into Film.
Person Specification:
Essential:
- Proactive, good organisation skills, able to work under own initiative, attention to detail and a great team player;
- Good knowledge and experience of Sun Systemsand strong Excel skills;
- Accounts experience / experience of a similar position;
- Holds or is studying towards a professional accountant qualification (ACA, ACCA or CIMA);
- Good communication skills to liaise with both internal and external parties;
- Flexibility and maturity to cope with frequent periods when the department is extremely busy with short deadlines that must be met;
- Ability and willingness to work extra time to complete the workload as and when necessary;
- A proven ability to undertake and assist with a wide range of tasks.
Desirable:
- Familiarity with the Microsoft Office suite;
- Knowledge of Sage payroll;
- A love and knowledge of film.
