SHOW INFORMATION: Theme and Facilities
The Cape & Islands Orchid Society has chosen the theme Victoriana for the 2008 orchid show. We hope you will be inspired to use the theme in your exhibit.
The facilities and layout for the show will be the same as last year. The show will be open to the public Saturday and Sunday, from 9 AM to 5 PM. We will not be opening early on Saturday this year for photographers due to some difficulties last year.
This year’s preview party (held Friday night) will be a little different than in past years. We will be offering a multiple station buffet this year with a wide variety of menu choices. Dinner will be followed by a shortened Award ceremony. Then we will have a Mini Auction featuring the beautiful blooming plants which are donated by our loyal vendors. This will be a fundraising event for the society, so please bring cash or a check if you wish to participate. After dinner and the auction, we have another special event for this years preview party. We have arranged to have Ronald Burch, from The Gardens at Post Hill, give his excellent visual presentation on growing native cypripediums in your garden. And finally, to end the evening, the sales area will be open for the remainder of the evening.
The SeaCrestConferenceCenter is making rooms available for overnight visitors at the group rate of $81 per night, single or double occupancy. The use of all Sea Crest recreational facilities is included (egg. swimming pool, gym etc). The Massachusetts occupancy tax (currently 9.7%) will apply. A block of roomswill be held for CAIOS Show attendees at this rate until December 9, 2007; thereafter, reservations at our special rate will be subject to availability. Make your reservation by contacting the Sea Crest Group Reservations Office at 800-225-3110, and be sure to state that you are attending the CAIOS show to receive your discount.

EXHIBITS
Plant: large or small floor or tabletop exhibits of flowering orchid plants
Artwork: Must be original artwork by the artist doing the display. Art exhibits featuring orchids such as paintings, etchings, drawings, photographs,ceramics, china glass sculptures, jewelry and metal art are acceptable.
Floral Design: Individual judging for amateur and professional floral exhibitors. Flowers may be replaced during the show to insure the arrangements look their very best.
Wearable orchids - corsages, hairpieces, wristlets etc.
Orchid Wedding Bouquet – orchids predominating
Individual Orchid – a solitary orchid or orchid stem uniquely featured
Flower arrangement – floral design featuring multiple orchid stems
Entries will be judged based on originality, color, harmony, balance, mechanics and overall design of each arrangement.
Educational: Materials relating to the orchid family, including by not limited to culture, propagation, history and conservation.
All plant material must be clean and pest free. This applies to both the exhibit and sales area. The Show Committee shall remove any plants not meeting these criteria.
The Cape & Islands Orchid Society will provide exhibit spaces lined with heavy plastic and defined by kickboards for floor displays, or skirted tables for tabletop displays. We have eliminated the lattice back 25 & 50 ft. table displays. Displays which can be viewed from all sides are encouraged. The walls behind the displays are neutral beige. The Society will not be providing bark mulch, moss, or filler plants. We can arrange to have some items available upon request and at your expense. Please call me directly to arrange for these items. We place our order for supplies at a local nursery around Dec. 1st. So please submit your request prior to this date.
Any items in displays or layouts deemed unsafe by the Show Chair will be removed or made safe to the satisfaction of the Show Chair or facilities management.
Do not leave personal belongings unattended.
There is limited storage space for all vendors and exhibitors. Stored items should be clearly marked the vendor or exhibitor’s name. No empty boxes, crates, wrappings etc are to be left in view in the exhibit or vending areas. All trash must be properly disposed of in the receptacles and bags provided during the show and during tear down.
REGISTRATION OF PLANTS FOR AOS JUDGING AND SHOW AWARDS
This is an AOS sanctioned show, and judging will be conducted by AOS certified judges. Rules published in the 11th edition of the AOS Handbook on Judging and Exhibition, and as amended in Awards Quarterly, will apply. Any plant or cut flower may be considered for AOS judging unless the exhibitor has clearly indicated prior to judging that a particular plant is not to be judged for AOS awards.
For the first time, all cut flower displays will be judged by a team of experts in floral display and design. In addition, there will be fourteen CAIOS show trophy awards.
We will be using the orchid show registration program that other Orchid Societies in the Northeast use. We strongly urge you to participate in early registration of orchids you plan to use in your display. The deadline for pre-registration of plants is Tuesday January 8th, 2008 at 8 p.m. A special benefit to you is that your tickets will be ready when you arrive to set up your display. SHOW RULES AND REGULATIONS
Neither the Cape & Islands Orchid Society nor the Sea Crest Resort and Conference Center can be responsible for any loss or damage to plants, flowers, equipment or supplies, or personal items, although every precaution will be taken to assure their security and safety.
No exhibit or vendors space can be disassembled or removed before the close of the show. No plants can be removed from any exhibit before the close of the show. (Except at the direction of the show chair (e.g. Bugs, damaged or faded plants)).
All federal state and local safety codes and smoking ordinances must be observed at all times.
Any item in a display requiring electric service for materials props and equipment provided by the exhibitor/vendor must be in good working condition and fully incorporated into the exhibit or sales space. All items requiring electric service must be indicated on the return form identifying the items power needs (i.e. how many watts and/or amps). Failure to do so may result in not being able to include the device in your display.
The use of artificial foliage or other obviously artificial material is not allowed. Green plants (if not in flower) may be used as filler, but the display must be predominately made up of flowering orchid plants. Exhibitors wishing to use elaborate props, such as moving water other than plant material, must discuss their plans with the Show Chairman.

Pre-registration for plant judging is available until 8:00 p.m., January 8, 2008. To pre-register plants for AOS judging by email or mail to Richard Phillips all lists and forms will be available at the web site. If you have a problem with the web site please call web master Lisa Parenteau at 508 539-7099 or email her from our web page. As many of you know it is easier remove a plant from registration than to add an additional group on set-up day. Please take the time pre-register, as many plants as you possibly can it will save all of us time.

INFORMATION FOR VENDORS
Vendor sales tables are 8 feet by 30 inches. Vendors are required to stage 25 square feet of exhibit for each sales table requested. The completed form (attached) and table fee is due on or before Oct. 12, 2007.
We require all vendors to be available to sell their materials and answer questions on Friday evening during the Preview Party, from approximately 6:00 p.m. to 10:00 p.m. Many times these people are or will be your best customers!
We are requesting that each vendor be prepared to give a 30-minute talk or demonstration as part of the Show Education program. This has proven to be one of the most popular features of the show. The talks will be publicized ahead of time, and have proven to be a draw for show attendance. Not all vendors will be included in the education program each year. Our Publicity person, Gail Barrnett, will contact you to arrange for your talk or demonstration.
Finally, in keeping with tradition, we request that each vendor donate a superb blooming plant that will be used for our new Mini Auction at the Preview Dinner. We believe a mini auction will add excitement to the dinner event. We will have a brief award ceremony before the Mini Auction. Additionally we will be having a guest speaker, Ronald Burch from The Gardens at Post Hill on growing native cypripediums, following the Mini Auction.
Maintenance and restocking must be done with care and discretion during the scheduled public hours or outside of the public hours. Due to the cold weather, care must be used in accessing the vending venue. After the initial set up on Thursday deliveries will be rerouted down the hall to an entrance that will not expose existing plant material to excessive cold for any length of time.
Vendor area Rules
- All seedlings mature plants, mericlones, flasks, community pots, etc, must be clean and pest free.
- All seedlings mature plants, mericlones, flasks, community pots must be labeled with the appropriate plant name.
- No field collect plants are permitted
- Newly potted plants or double potted plants (one pot inside the other w/top dressing) must be clearly identified as such
- Non-plant material such as artifacts, jewelry, pictures, paintings, books, plant pots materials, supplies, apparel etc., may be sold as long as they pertain or depict orchids
- All items for sale must be clearly marked with the sales price.
- Vendors will collect payment for their own sales – CAIOS is not responsible for collecting any moneys or taxes due to the vendor as a result of their sales activities.
- Vendors will provide a receipt to customers before they leave the sales area.
- Vendors will provide their own bags, business cards, catalogs and other sales related items.
- Vendors will be present to sell during the Preview Party and all public show hours.
