Main Purpose of the Position: The Executive Administrative Assistant to the President provides support to the President, anticipating needs and acting with little direct supervision. The position is responsible to oversee the Office of the President functions and duties K-12, and the Quest Institute for Quality Education administrative duties. This position is responsible to balance conflicting priorities in order to ensure the completion of essential projects, and identify and meet critical deadlines.

Job Duties
President’s Schedule
- Maintain the President’s schedule, phone calls, correspondence and emails
- Manage phone, email and postal mail inquiries for the Office of the President and respond appropriately
- Serve as the first point of contact for a wide variety of high-level relationships between the President, the VCS constituency, and the broader community
Friend/Fund Raising
- Collaborate with the Office of Development to build donor relationships
- Plan and execute friend raising events
Board Relations
- In collaboration with the President and chair of each board or board committee, prepare agendas and all meeting arrangements
- Prepare and maintain the VCS Board portal on the VCS website
- Take and maintain minutes for all board meetings and other meetings as needed by the President
Communications/Writing
- Draft and edit articles, reports, presentations and other communications put out by the Office of the President. Verify all VCS President communications are proofed by three or more editors prior to distribution and/or publication
- Oversee the production of three or more President vlogs and all Constant Contact communications
Special Projects
- Coordinate and manage special projects as directed by the President
- Take on tasks to support the work of Valley Christian Schools’ programs, operations and overall mission as directed by the President
Additional Support
- Support the members of the Executive Team as necessary
- Maintain a welcoming atmosphere of hospitality for all guests and visitors that come to the President’s Office
- Maintain an orderly, professional appearance in both the President’s offices and the VCS Board Room
- Ensure that the President’s offices and VCS Board Room are adequately supplied

Knowledge and Skills:
- Demonstrate advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills.
- Proficient in MS Office applications including, Outlook, Word, Excel and PowerPoint.
Fiscal Responsibilities: (Budget responsibilities, approval privileges, reporting and auditing)
- Prepare the annual budget for the Office of the President
- Monitor and track the budget on a monthly basis
- Oversee the completion of the monthly Master Card Accounting Reports
Extent of Public Contact: (Type and frequency)
Daily contact with teachers, staff, coaches, students, parents, guests and school administrators.
Physical Demands: lifting, walking, equipment operations.Must be able to work at a computer and use other office equipment such as fax, copier. No heavy lifting is required or necessary.
Working Conditions and Environment: travel, usual work hours, and environmental conditions: Work is performed in a school and office environment during a regular 40 hour work week. Occasional overtime may be necessary. This position is not required to travel.
