POSITION TITLE:Program Assistant, Bridge Builders

REPORTS TO:Director of Bridge Builders

POSITION DESCRIPTION:

Program Assistant serves as sponsorof the Bridge Builders Youth Leadership Board and actively facilitates Bridge Builders trainings, electives and community actions; performs varied and increasingly responsible general clerical work that may include typing correspondence, entering data, printing and preparing training materials,scrubbing data, filing, etc. as required. Possible interaction with the public.

Part-time; regular; non-exempt.

ESSENTIALDUTIES AND RESPONSIBILITIES:

  1. Lead Facilitator for the Bridge Builders Leadership Board meetings/events/ and other various appearances.
  2. Lead Facilitator for Bridge Builders COLLABORATE trainings, electives and community action meetings.
  3. Demonstrated ability to maintain confidentiality of information.
  4. There is some independent decision-making at this level in interpreting and applying procedures and precedents to specific requests. Errors may be serious and Program Assistant must determine which activities or cases are routine and which should be separated for special consideration (i.e. unusual or difficult cases).
  5. Make and take phone calls/emails fromparticipants, participants’ parents or guardians, general public, etc. All calls are to be handled with courtesy and attention to world-class customer service.
  6. Program Assistant mayalso greet and interact with participants, participants’ parents or guardians, the public, employees of other departments or agencies and/or guests at the BRIDGES Center in routine situations that require tact, discretion, courtesy and world-class customer service.
  7. Attend Bridge Builders meetings;log attendance and monitor groups during Bridge Builders meetings;facilitate students in various activities when required.
  8. File information alphabetically, numerically and/or chronologically according to office procedure to maintain organized and accurate filing systems; locate and retrieve files from manual or computerized systems to provide requested information; create new files and purge old files according to established procedures; update and correct file information to maintain accurate files; merge and assemble files to maintain records; deliver and/or pick up files to provide requested information; copy files as requested.
  9. Track and log-in work using computer, logs, receipts and forms to maintain accurate records of transactions; update and/or make corrections to records manually or by computer; complete documents and compile reports and logs.
  10. Type and/or key in a variety of documents including memos, letters, reports, labels, dockets and receipts following specified formats using computer and printer; proofread and/or spell check documents to eliminate errors. Create documents such as charts, forms and logs to meet departmental needs.
  11. Copy documents using copier or computer printer to maintain records; print and compile training materials; may be called on to scrub information that has been entered into Salesforce.
  12. Fold and stuff documents to process outgoing mail; receive and send documents by fax and email; send mail using inter-office or U.S. mail system.
  13. Must be available to work assigned office hours, weekends and evenings.
  14. Other reasonable duties as assigned by supervisor and/or management staff.

MINIMUM QUALIFICATIONS:

  1. Must be a graduate of the Bridge Builders program.
  2. Have a high school diplomaandone(1) year of progressively more responsible general clerical experience; knowledge of English grammar, punctuation, spelling and basic math.
  3. Must demonstrate a strong working knowledge and experience using Microsoft Office (Word, Power Point, Excel, Publisher and Outlook), knowledge and experience working in a database programand computer operations.
  4. Knowledge of and follow standard clerical office practices and procedures; standard filing methods as defined by BRIDGES supplied information/example materials.
  5. Experience in telephone procedures, including operation of multi-line equipment and message taking; business telephone etiquette.
  6. Knowledge of and usesStandard Business English and Standard BusinessEnglish grammar.
  7. Ability to work outside of normal business hours such as nights and weekends.

PHYSICAL DEMANDS:

  1. While performing the duties of this position, employee is regularly required to walk, talk, see, hear and stoop.
  2. Specific vision abilities required by this job include close vision and the ability to adjust focus.
  3. The employee frequently is required to stand; walk; use hands and fingers; and reach with hands and arms.
  4. Employee must occasionally lift and/or move up to 25 pounds unassisted.
  5. Requires ordinary ambulatory skills sufficient to visit departments at the BRIDGES Center and to attend training sessions held off campus.
  6. Requires excellent communication skills (interpersonal, intercultural and corporate) both spoken and written.
