Entering Journal Transactions

Click on the Journal button (looks like books on a book shelf or 6th button from the left). / Journal window
Click Add Transactions. / Wizard Window
Click Next. / Enter New Transaction window
Enter the date, 12/01 and hit the TAB key. / Date field
Click the drop down arrow in the Account Name drop down box to display the account name and select Utilities Expense. / Account number and name
Click in the Debit column and enter 700. / Debit Amount
Click in the Account Name drop down box and select Cash / Account number and name
Click in the credit box and enter 700.00 / Credit Amount
Press the TAB key to move throughout transaction window.
Before clicking Finish, editing the transaction can be done as follows:
·  Clicking in the date box, select the date and press delete to enter a different date.
·  Clicking the blank space in the drop down menu or by pressing delete or just selecting a new account can edit the account name.
·  Clicking in the debit or credit column and pressing backspace to remove the current amount and then retype the new amount.
Click Finish. / Description window
Enter “Paid utilities expense”. / Description
Click OK. / Journal entry in black text with green description
Repeat steps from Add transaction to complete the remaining journal entries
After completing all journal entries, click File Print to print entries to review before posting. Entries can be changed prior to posting using the Edit Transaction button.

Posting Journal Transactions

Be sure the journal window is open and Click on Post Open Entries when all are completed or when just one transaction is displayed. / Message Post all open transactions to general ledger
Click OK / Journal Entries displays in blue text (Blue color-- entries are posted.

Displaying Reports

Click on each Report button to display the reports; Click the Trial Balance button (5th from the right). / Trial Balance
Display other reports.

Saving the Problem or Exercise

Click File from the menu bar. / File Menu
Click Save AS. / Save AS dialog box
Select 3.5 Floppy (A:) in the Save In box. / 3.5 Floppy A
Type a new file name in the File Name box. / Name appears in the File Name Box
Click Save. / File is saved to floppy

Printing Reports

Click File, Click Print. / Print dialog box displays and will print the active report
Click Reports, Click Print Reports. / Print Reports window
Check the reports to print and click Print.

Exit the Program

Click File. / File Menu
Click Exit. / Program closes

To create a new Problem or Exercise

Click File, New. / Opens a new company window
Enter ABC Company, New Lane, Old Saybrook, NJ, and 08882 respectively for Company name, Address, City, State, and Zip. / See above screen
Leave the start date as 01/01/X1.
Enter the last day of the month of the current period. For example if the company is starting transactions as of March then enter 03/31/X1.
Select Owner Type, Sole or Corporation; for this example select Sole.
Select Company Type, Service or Merchandising; for this example select Service.

Entering the Chart of Accounts

Click the Chart of Accounts Button (the button resembling a chart or the 5th button from the left. / Chart of Accounts window displays
Add, Delete, or Edit the accounts to match your company chart. Take notice of the types of accounts in the default chart before beginning. Beginning balances can be entered at this time as well.
Enter the chart displayed to the left.

Saving a Problem Template

Click Save As and change the location to Floppy Disk A:
Enter ABC Company and click Save. (The file saves as ABC Company.pgl)

Adding Problem Help -Optional

If there are specific directions you would like to add to the new problems follow these steps:
Open NotePad and type the directions or text desired. NotePad can be found in the Accessories folder. Click Start, Programs, Accessories, NotePad.
Click Save As and change the File type to All Files.
Enter the same name as the problem, ABC Company.phl. (Be sure to type the phl extension.)
Both the problem template file (.pgl) and the help file (.phl) must be in the same folder or location.
