Objective of Role
To provide professional, proactive and efficient administrative support and office management services to The London Film School offices in Shelton Street and Long Acre, Covent Garden. Working with IT and other departments, to ensure all infrastructure for the office is fit for purpose and best use of outsourcing contracts is adopted. To lead and manage the office support team, including reception, to ensure that all facilities within the School run efficiently and smoothly at all times. To ensure a high standard of office maintenance so that LFS functions to a high standard and a high level of cleanliness. Prioritise high standards of customer service for staff, students and visitors to LFS.
Main Responsibilities
· Act as liaison and main point of contact in respect of LFS operational matters for all staff.
· Ensure that LFS maintains the office infrastructure and work environment required to deliver its responsibilities to students and staff.
· Build and maintain good relationships both internally and externally, communicating professionally and effectively at all times.
· Ensure the office support team (including reception) offer a full front of house service, answering the main LFS telephone line in a polite and courteous manner, meet and greet visitors into the office, manage post with incoming and outgoing mail
· Take accountability for office overheads including stationery, paper consumption, etc
· Review, procure and manage all third-party contracts relating to LFS operations (cleaning contractors etc)
· Oversee Health & Safety and Environmental issues for the two buildings (Shelton Street and Long Acre)
· Take responsibility for maintenance or cleaning issues (e.g. air conditioning, heating, toilets, power, lighting etc) within the two buildings (Shelton Street and Long Acre)
· Lead and manage the office support team (including reception)
· Ensure all new starters receive an operations induction.
· To ensure that there is adequate administrative cover within the office at all times
· To lead on developing and maintaining an LFS equipment inventory
Key qualities/qualifications/experience
· Strong IT skills, experience of using computerised systems including Microsoft Office (Office 365 experience would be desirable)
· Flexible and helpful attitude
· Ability to use common sense and initiative to solve problems
· High level of written and oral communication skills
· Excellent interpersonal skills
· Ability to identify and progress work priorities
· Strong organisational skills
· Ability to work as a team member, including being flexible and supportive of other team members.

With around 220 full-time students,from over 30 countries, we are a dynamic hub for high quality film making activity, preparing creative storytellers for the world’s screen industries. We offer 3 full-time MA programmes, a Ph.D. Film by Practice, and a full calendar of short courses.
