Service: No smoking policy. Requirement to occasionally work outside of school hours and off school premises as required by the school. TTO + 5 (195 days)

Purpose of Job

To assist in the delivery of an efficient and effective administrative, HR and financial support to the school to ensure consistent and high quality support for teaching and learning across the SILC.

General Role

·  Support staff across the SILC to implement school development priorities to sustain school improvement.

·  To be responsible for the quality, security and confidentiality of the school’s centrally held data in line with the school’s data protection policy.

·  To use relevant IT applications and Databases effectively to deliver administrative tasks - Word, Excel, databases, spreadsheets, Internet and SIMs

·  Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.

·  To deliver high quality ‘front-of-house’ support across all communication formats (e.g. face-to-face, email, telephone, text, web etc) and ensure visitor protocol complied with and all H&S and safeguarding aspects implemented with rigour.

·  Liaison with passenger transport services and organising requests for pupil transport, educational visits etc.

·  General Administrative tasks such as, but not limited to, maintain general stationery stocks and stores, sort and distribute mail, arrange and support meetings, room bookings and other school events, fault/job reporting and expediting.

·  Administer the school meal system and collect and record dinner money.

·  To comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

·  To be aware of and support difference and ensure equal opportunities for all

·  To participate in training and other learning activities and performance development as required.

·  To recognise own strengths and areas of expertise and use these to advise and support others.

·  To support other team members to ensure the efficient resource of the department at peak times, absences and where necessary

·  Provide an excellent service to parents, pupils, colleagues and visitors to the school

·  To provide support to pupils when required.

Key Areas/Roles

Key areas/roles are to be assigned to the School Support Officer taking into consideration experience and specific knowledge and expertise. In line with the concept of para-professional flexibility between roles will be supported and encouraged.

Key areas:

·  Day-to-day Human Resource operations;

·  Day-to-day financial operations; and

·  Clerk to governor committees.

Key tasks:

Finance

·  To be responsible for;

o  Ensuring that all income is properly accounted for and is processed securely and in accordance with LCC Financial Regulations and Procedures.

o  The day to day financial administration of the SILC, including but not limited to orders and invoicing, cash handling and appropriate accounting through FMS.

o  Providing information to relevant staff on budget spend and internal financial processes.

o  Contributing to and supporting income generation and development activities e.g. securing sponsorship/funding.

o  To support senior leaders in developing a cost benefit culture: ensures value for money is obtained at all times in the use of financial resources, through sound financial management and compliance with procedures.

o  Providing regular reports to the SLT (& Governing body) relating to financial aspects of the SILC.

Human Resource

·  To be responsible for;

o  The day to day human resource administration of the SILC, including but not limited to, absence management (inc Cover Arrangements), training, development, payroll and employment issues.

o  To support the school leaders in administering human resource related tasks including;

§  Recruitment and Selection

§  Salary and Pensions

§  Job Descriptions, Grading Schemes, Contract types

§  Induction

§  Performance Management

§  Discipline and capability and grievance

o  Monitoring and reporting to SLT & the Governing Body on HR related matters as requested.

o  To liaise in a professional and timely manner with the external agencies (such as, but not limited to Business Support centre or Occupational Health) to resolve HR related issues and support the improvement of staff attendance.

Clerk to Governor Committees

·  Liaise with relevant senior leader and Committee Chair to set agendas.

·  Collate supporting papers and share with the Committee members.

·  Record minutes of meetings and share with the Committee Chair in a timely fashion.
