Job Purpose

As part of the Conference & EventsDepartment you will be expected to attract and secure business, organise events and functions, liaise and meet with clients and guests, with theprovision of the associatedadministrative requirements. Your role will specifically focus daily support to the weddings, conference and events elements of the department

Role & Responsibilities

It is your responsiblity to assist in driving all sales business revenues in line with budgeted targets. You must be pro-active, highly organised and a confident indivual and exceptional sales skills who can manage databases and all sales processes ensuring ratios for generating appointments and closing wedding business is achieved.

Administration

  • Answer customers enquiries on an ongoing basis
  • Answer the telephone and deal with any enquiries and follow up accordingly
  • Assist the Revenue Manager with:-
  • Produce and distrbute sales invoices with covering letters
  • Periodically check iles for accuracy in the final 6 weeks before the

wedding

  • Produced timing plans for all relevant people and distribute
  • Liaise with staff regularly to inform them of viewings an events
  • Send out enquiry packs to all enquiries and subsequently follow up
  • Ensure all marketing literature is up to date and in ready supply
  • Review customer files on a monthly basis
  • Be aware and ensure that all supplier services eg chair hire, hog roast

etc. are ordered well in advance of each event and any paperwork is kept

in appropriate customer files

Wedding Co-ordination / Management

Working with the Sales Co-ordinator to ensure the following tasks are undertaken:-

  • Show potential customers around the venue when needed
  • Liaise with each client post wedding
  • Communicate with the C&B Manager to ensure their arrival time and full details as per Function Sheet Carry out a file hand-over and introduce them to the Bride & Groom before leaving the venue

Departmental Requirements

  • To maximise selling opportunities by adding customer value at every opportunity
  • Planning, co-ordination and managing events at the Quay Hotel & Spa
  • Contribute to the marketing and promotion of events, weddings, functions, conferences etc
  • Developing leads for potential business, liasing with potential customers.
  • Ensure all information required is provided to all relevant departments within appropriate time scales.
  • To adhere to the correct uniform/appearance policy and maintain personal hygiene at all times
  • To have an overall operational sknowledge of the areas within the hotel
  • To undertake any other duties requested by management
  • To comply with all legal requirements in respect of health, safety and welfare of staff and customers
  • All staff of the company are required to make themselves available for training and communication meetings, for which advance notice will normally be given
  • All staff must attend fire training as required by law, and to be familiar with the departmental responsibilities
