ParentAssociation Meeting Minutes
Date of meeting: March 18, 2014
Meeting was called to order at: 9:10 AM By: Elaine Brenneman
Attendance:Elaine Brenneman, Aralisha Newbold, Meg Young, Tom Needham, Lisa Morris, Marcia Holdren, andMarielena Barnes.
1 – Review of Calendar Events
Marielena Barnes reviewed the remaining calendar of events for the Parent Association.
Hill Top Hoedown May 2nd
Annual Hill Top 5K Race on May 17
Teacher Appreciation Week May 19 through May 23
2 – Treasurer’s Report
Meg Young explained the Excel Spreadsheet™ Information used for the Treasurer’s Report
A check in the amount of $300 was sent to the Bald Eagle Camp, in memory of Philip Salisbury
3 – Hill Top Hoedown
Friday, May 2, 2014 the Parent Association will host the first Hill Top Hoedown. The event will begin with games and conclude with hayrides and food (3:30 – 6:30)
At the end of the school day, students will be taken to the soccer field for relay races, bean bag tossing,
Nerf archery, egg racing, 3-legged races, sack races, and water balloon tossing. Parents
welcome during this time!
Approximately 5 pm: Food catered by Jimmy’s BBQ – set up on patio, people can eat inside the small
common area or at picnic tables (will be moved to the lawn)
4 Campfire pits will be available to toast marshmallows – set up on patio
Tractor for hay rides – Tom Needham arranged for a tractor and trailer
Volunteer list – 14 adults for the games, 4 adults for the firepits (will also hand out marshmallows
for the s’mores), 2 adults for the graham cracker/chocolate station to complete s’mores, 2
adults for the bar drinks
Marcia Holdren – Ice, water bottles, soda, 2 coolers
Country music will be played – Meg Young has 1 speaker, Marcia Holdren will see if she has another
4 – 3rd Annual Hill Top 5K Race
Soliciting and organizing the Raffle Baskets and table at the event.
Marielena Barnes will obtain Hill Top Prep items from “My Locker” and Game Stop gift cards
Meg Young will obtain items for a Nerf Watergun basket
Elaine Brenneman will obtain weights
Tom Needham will see if he can find Scoutbags or a Vera Bradley duffle bag
Soliciting food for the event: Bagels, Bananas (20# - Lisa Morris), Coffee, Water, Pretzel Bites and
granola/energy bars, paper goods, creamers and stirrers, peanut butter
Aralisha Newbold put in a donation request with Wegman’s and the Reading Phillies donated 6 tickets
5 – Parent Association Yearbook Ad
Meg Young already submitted to Marion Kassab
8 – Teacher Appreciation Week
Co-chairs Lisa Morris, Meg Young, and Marcia Holdren will meet after Spring Break and provide details at April’s meeting.
9 – Parent Association Board Positions for 2014-2015 School Year
The positions of Vice President, Treasurer and Secretary will be available for nomination for the upcoming 2014-15 school year. Tom Needham will send an e-mail to a few parents in grades 5 through 9 in an effort to foster more interest.
Possible alternatives were discussed in the event of vacant positions.
10 – Next Meeting
The next Parent Association meeting is April 23, 2014. More information will be sent out via email by Marielena Barnes.
