How to View Reports and Perform Balance Inquiries Using Lawson Insight 7.0
The purpose of this document is to guide you through the steps required to view reports and perform balance inquiries using the Lawson Insight 7.0 financial application (referred to as Lawson from this point forward). This document is intended to be used by persons who are not day-to-day users of Lawson but have some understanding of the accounting unit and account structure in the GoodMark Foods chart of accounts. They should be able to use a mouse to navigate through a GUI (Graphical User Interface) application and be familiar with GUI features such as windows, menus, and buttons.
There are two ways to view information in Lawson. First, you can view a previously-generated report in the online report viewer called Print Manager. Second, you can submit your own inquiry based on a set of parameters. Covered in this document are step-by-step instructions on how to : (1) login to your Lawson account; (2) view a Print Manager report on your screen; (3) send a Print Manager report to a printer; (4) view a Print Manager report on your screen then send a portion of the report to a printer; (5) inquire on account balances; (6) inquire on the transactions comprising an account balance; and (7) logout of your Lawson account.
Requirements
Before you can begin, you must:
- Help Desk personnel install the Lawson client software on your computer.
- System Administrator creates a Lawson account and password for you.
Highlighting Conventions
In order to make this guide more effective the following conventions are used:
- Mouse Click Items: Commands you execute by a left-click on the mouse are presented in bold type. For example:
Click on the Window menu.
- Keys: Keys you press on the keyboard are presented in bold type. For example:
Press the Enter key.
- User Input: Input you type from the keyboard is presented in an alternate font. For example:
Type GL95.1 in the Form text box.
- System messages: Information displayed on screen is presented in an alternate font. For example:
You will see the message File not found.
Login
Before you can begin using Lawson, you must logon to your Lawson account. Follow these steps to access your Lawson account:
- Double-click the Lawson 7.0 icon on your Windows desktop. Lawson will display a login window (see Figure 1).
Notes:
- The information you enter in the text boxes is case-sensitive (uppercase and lowercase letters are not the same).
- Some of the log in information may already appear in the text boxes of the login window. If so, procede to the next step.

- Click the Telnet Connection to UNIX Server radio button.
- Enter gm9002 in the Server Name text box.
- Enter your account name in the User Name text box.
- Enter your password in the Password text box.
- Enter prod7 in the Product Line text box.
- Enter lamn.0 in the Form ID text box.
- Click on the Connect button. The Lawson 7.0 Production Main Menu will display (see Figure 2).

Reports
Your Print Manager allows you to view or print reports sent to you by other Lawson users.
Selecting a report in your Print Manager. Before you can view or print a report, you must navigate to your Print Manager and select a report. Follow these steps to select a report:
- From the Lawson 7.0 Production Main Menu, click on the Window menu.
- Click on Print Manager. The reports that are currently in your Print Manager will display (see Figure 3).

- You can use the up and down arrow keys or the Page Up and Page Down keys to move from one report to the next. Highlight the report you want to view or print by clicking on it.
Viewing a Print Manager report. Follow these steps to view a Print Manager report:
- Follow the instructions for “Selecting a report in your Print Manager.”
- From Print Manager, click on the Actions menu, then click Send To Screen. The first page of the report will display. At this point, Lawson is no longer in GUI (Graphical User Interface)mode (this means you must use your keyboard; you cannot use your mouse).
- Use the Page Up and Page Down keys to view the report. Pressing the Shift/F10 key combination navigates to the end of the report. Pressing the F10 key returns you to the beginning of the report. Use the left arrow and right arrow keys to scroll across the report.
- Once you have finished viewing the report, press the Esc key to return to Print Manager. Lawson will return to GUI mode (this means you can use your mouse).
Printing a Print Manager report:
- Follow the instructions for “Selecting a report in your Print Manager.”
- From Print Manager, click on the Actions menu, then click Send To Printer. The Print File Window will display (see Figure 4). The name of your default printer will be in the Printer Name text box. If you want to print more than one copy of the report, type the number in the Copies text box.
Note: To select a printer other than the default, click the down arrow button next to the Printer Name textbox. A Select Printer window will display. You can use the scroll bar, the up and down arrows keys, or the Page Up and Page Down keys to scroll through the printer list. Highlight the printer you want to use by clicking on it. Click on the Select button or press the Enter key.
- Click the green check mark button to send the report to the printer. The message “Printing Complete – 1 File(s) Have Been Printed” will display at the bottom of the window.

- Follow the instructions for “Selecting a report in your Print Manager.”
- From Print Manager, click on the Actions menu, then click Send To Screen. The first page of the report will display. At this point, Lawson is no longer in GUI (Graphical User Interface) mode (this means you must use your keyboard; you cannot use your mouse).
- Use the Page Up and Page Down keys to view the report. Pressing the Shift/F10 key combination navigates to the end of the report. Pressing the F10 key returns you to the beginning of the report. Use the left arrow and right arrow keys to scroll across the report.
- Use the up and down arrow keys to place the cursor on the first line to be printed. Press the Home key. Position the cursor on the last line to be printed. Press the End key. Lawson will highlight the marked area.
Note: Lawson may not highlight all of the section you marked, however, the entire marked area will be sent to the printer. - Press the F8 key. A Send To box will display (see Figure 4). Use the down arrow key to highlight B. Printer. A Print box will display. Use the left arrow key followed by the down arrow key to highlight B. Marked Text.
- Press the Enter key and a Select Printer box will display. Use the up and down arrow keys or the Page Up and Page Down keys to highlight the printer you want to use.
- Press the Enter key. The report will be sent to the printer, and the message “Done” will display at the bottom of the screen.
- Once you have sent the report to the printer, press the Esc key to return to Print Manager. Lawson will return to GUI mode (this means you can use your mouse).

Inquiries
There are two types of accounting units: posting and summary. Posting accounting units maintain general ledger accounting activity. Summary accounting units consolidate information from lower level posting accounting units. By entering a set of parameters in the Account Analysis (GL95.1) window, you can inquire on the balances of either posting accounting unit/account combinations or summary accounting unit/account combinations. By entering a set of parameters in the Transaction Analysis (GL90.1) window, you can inquire on the transactions comprising the balance of a posting accounting unit/account combination.
Inquiring on accounting unit/account balances. Follow these steps to view the current balance of an account or a range of accounts within an accounting unit:
- From the Lawson 7.0 Production Main Menu, click on the Window menu, then click on Form Transfer. The Form Transfer window will display (see Figure 6). If it has not defaulted, type PROD7 in the Product Line text box. Leave the System Code text box blank. Type GL95.1 in the Form ID text box.
Note: You can use the Tab and Shift/Tab keys to navigate through the text boxes.

- Click the green check mark button . The GL95.1 window will display (see Figure 7).

- Type 1 in the Company text box.
- Type a posting or summary accounting unit in the Accounting Unit text box.
Note: If you do not know the accounting unit, click on the Accounting Unit text box, then click the down arrow button to the right of the text box. A Select On window will display. If you click on Posting Accounting Units followed by the Select button, a list of posting accounting units will display. If you click on All Accounting Units followed by the Select button, a list of all accounting units will display. When all accounting units are displayed, you can use the Type field to determine if the accounting unit is a summary accounting unit. You can use the scroll bar, the up and down arrow keys, or the Page Up and Page Down keys to scroll through the accounting unit list. Highlight the accounting unit you want to use for the inquiry by clicking on it. Click on the Select button. - Type an account number in the first Major Account text box (the box to the left of the hyphen). If you want to inquire on a range of accounts, type an account number in the second Major Account text box (the box to the right of the hyphen).
Note: If you do not know the account, click on the Major Account text box, then click the down arrow button to the right of the text box. If you are inquiring on a posting accounting unit, click on Accounts within a Posting Accounting Unit. If you are inquiring on a summary accounting unit, click on Accounts within a Company. Click on the Select button and a list of accounts will display. You can use the scroll bar, the up and down arrow keys, or the Page Up and Page Down keys to scroll through the account list. Highlight the account you want to use for the inquiry by clicking on it. Click on the Select button. - (Optional) Type a subaccount number in the first Subaccount text box (the box to the left of the hyphen). If you want to inquire on a range of subaccounts, type a subaccount number in the second Subaccount text box (the box to the right of the hyphen).
- Type a fiscal year in the Year text box.
- Type a period number in the first Periods text box (the box to the left of the hyphen). If you want to inquire on a period range, type a period number in the second Periods text box (the box to the right of the hyphen).
- Click on the green check mark button and the message “Ready for inquiry, select a category” will display at the bottom of the window.
- If you are inquiring on a posting accounting unit, click on the Account button to view the account balance(s). If you are inquiring on a summary accounting unit, click on the Totals button to view the account balance(s).
Inquiring on accounting unit/account transactions. By entering a set of parameters in the Transaction Analysis (GL90.1) window, inquiries on the transactions comprising the balance of a posting accounting unit/account combination (see “Inquiries” for the definition of a posting accounting unit) can be performed. Follow these steps to view the transactions comprising the balance of an accounting unit/account combination:
- From the Lawson 7.0 Production Main Menu, click on the Window menu, then click on Form Transfer. The Form Transfer window will display (see Figure 6 in the “Inquiring on accounting unit/account balances” section). If it has not defaulted, type PROD7 in the Product Line text box. Leave the System Code text box blank. Type GL90.1 in the Form ID textbox.
Note: You can use the Tab and Shift/Tab keys to navigate through the text boxes.
- Click the green check mark button . The GL90.1 window will display (see Figure 8 ).

- Type 1 in the Company text box.
- Type a posting accounting unit in the Accounting Unit text box.
Note: If you do not know the accounting unit, click on the Accounting Unit text box, then click the down arrow button to the right of the text box. A Select On window will display. Click on Posting Accounting Units then click on the Select button. A list of posting accounting units will display. You can use the scroll bar, the up and down arrow keys, or the Page Up and Page Down keys to scroll through the accounting unit list. Highlight the accounting unit you want to use for the inquiry by clicking on it. Click on the Select button. - Type an account number in the Account Number text box.
Note: If you do not know the account, click on the Account Number text box, then click the down arrow button to the right of the text box. Click on Detail Active Accounts. A list of accounts will display. You can use the scroll bar, the up and down arrow keys, or the Page Up and Page Down keys to scroll through the account list. Click on the account you want to use for the inquiry then click on the Select button. - (Optional) Type a subaccount number in the text box to the right of the Account Number text box.
- Type a fiscal year in the Year text box.
- Type a period number in the first Periods text box (the box to the left of the hyphen). If you want to inquire on a period range, type a period number in the second Periods text box (the box to the right of the hyphen).
- Click on the Inquire button . The transaction detail will display in the bottom half of the GL90.1 window.
Logout
You can exit from Lawson and return to your Windows desktop by clicking on the File menu then clicking on Exit.
