Overall Purpose:
  • To co-ordinate and carry out administrative duties across retail helping to develop efficiencies and good working practice
  • To help deliver excellent reporting and measurement of performance to assist in decision making
  • To support Retail Development Manager and Director of Fundraising in the growth and development of Rotherham Hospice retail
  • To work as part of the Fundraising in helping retail deliver on fundraising strategies and projects

KeyResponsibilities:
  • General administration for the Retail team e.g. photocopying, laminating, filing etc.
  • Creating required notices for all retail outlets.
  • Co-ordinating financial reports using Microsoft Excel and extracting information from retail EPOS system
  • Create sales reports for Director of Fundraising and Retail Development Manager to assist decision making.
  • Dealing with incoming and outgoing post.
  • Managing the ordering, delivery and dispatch of new goods.
  • Co-ordination of all retail staff rotas, holidays and absence reporting.
  • Diarising and arranging annual regulatory checks for retail outlets.
  • Managing the relationships with facilities providers for retail premises.
  • Provide administrative support to the Retail Development Manager
  • Administrator of the retail EPOS system.
  • Work with the Retail Development Manager in project managing new shop openings and shop refits to maximise the potential of all project work.
  • Assist the Community Fundraising team in linking up with shop managers and working on joined up initiatives.
  • Assist the Lottery fundraising team in linking up with shop managers and working on joined up initiatives.
  • To ensure that all information relating to regulations for Health and Safety, Trading Standards, Sale of Goods Act etc are compiled and distributed to shops in shop manuals
  • Toc-ordinate anybuilding or equipment maintenance problemsadvised by shops
  • To attend meetings and training sessions as directed by theRetail DevelopmentManager.
  • Safeguard the Charity’s reputation and integrity through an awareness and understanding of Rotherham Hospice brand.
  • At all times, represent Rotherham Hospice in a professional manner that engenders trust and loyalty, making the most of any appropriate opportunity to maximise awareness of the Charity.
  • Work positively and collaboratively with all Rotherham Hospice colleagues (staff and volunteers).
  • To undertake other duties or responsibilities, which are commensurate with the post, as required by theRetail DevelopmentManager.

General

To comply with all information governance requirements, in particular on data protection and information security ensuring the confidentiality necessary in relation to patient, staff, stakeholder, Lottery member and volunteer information, in line with Hospice policies.

The post holder undertake any other reasonable duties necessary to ensure effective support to the Executive Team and the Board of Trustees across the range of duties as appropriate within the grading of this post.
