ISU Chemistry Stores Online Ordering FAQ’s

  1. What are the advantages to ordering online versus writing my order on a paper ticket?
  2. By entering your order on our online system, you are helping to free up resources that were once used to manually enter and maintain paper sales records. Less paper is used, operating costs are reduced, and employee manpower can be used in more efficient and valuable ways.
  1. You will have quicker access to your sales history. You will be able to easily look up information on past orders online rather than waiting for a paper statement to be printed at the end of a billing period. Sales information is posted immediately after purchases are complete so you can check real-time records on items purchased and money spent from an account.
  1. You may enter your order from your office or lab before you come to the Chem Stores storeroom. We could have your purchases ready for you to pick up eliminating your wait time.
  1. You can take advantage of the time-saving features available through the online system. Frequently purchased items can be saved in a Favorites list so you don’t have to look up the same stock numbers over and over. You may enter default information in your profile so you don’t have to memorize account numbers.
  1. Where can I find the Chem Stores online catalog?

There are two ways to access our catalog and ordering system:

  1. You can enter our ADIN online catalog from AccessPlus and place your orders directly to Chem Stores. This requires you to contact us initially to give you access. Once you have access you will see links to our catalog under the U-Business tab in AccessPlus.
  1. You can enter our online catalog from the CyBUY vendor site and route your orders for approvalthrough your department. This requires you to get set up on CyBUY through your own department. Once you have access to CyBUY, you can enter through the Chemistry Stores logo on the CyBUY Supplier/Marketplace page.
  1. How long does it take for my submitted order to reach Chem Stores?
  2. Orders submitted via the ADIN online catalog are instantaneously received in the Chem Stores storeroom. We check our system for newly submitted orders frequently.
  1. Orders submitted via CyBUY are subject to the routing for approval process. As soon as your order is “released” by your department, then it is transmitted to Chem Stores. We do not have access to your order until it is “released”.
  1. Can I change my order after I have submitted it to Chem Stores?

Although you will not have the ability to change your order after submission, Chem Stores personnel is able to do it for you. We can easily add or subtract items or change quantities if needed.

  1. What are my options for receiving my purchases after I place the order?
  2. Customer Pick-up

Use the comments field to ndicate a specific time and we will have your order waiting for youor come anytime after the order is placed to pick it up.

  1. Delivery

Please make sure the delivery information on your order is correct before you submit it. Orders received before 2:00 pm will be filled and delivered the next business day. Delivery to a building dock on campus is free. Deliveries made to a room or off-campus are subject to a delivery fee.

  1. Are there any restrictions to what I can order online?
  2. Ethanol and Nitric Acid purchases require the purchaser to be pre-approved by EH&S. The approved purchaser must sign a log before the items can be picked or delivered. Online orders forethanol or nitric acid will not be processed until the proper signature is provided.
  1. Customers must provide their own containers for dry ice, liquid nitrogen, and bulk solvents such as acetone and ethanol. If you are going to pick up your order from the storeroom, please bring your container with you. If you order any of these items for delivery, you must arrange for containers to be sent over to Chem Stores.
  1. I am not a university employee; can the online system be used for sales to non-university customers?

No. All cash sales and Accounts Receivable sales will continue to be recorded on our paper sales tickets until further notice. Because our catalog is accessed via IowaState’s AccessPlus, you must be a university employee or student to view it.

  1. My department still uses the Chem Stores paper tickets; can I continue to use these to place orders?

Chem Stores will be transitioning to required online ordering for all stock items over the next several weeks. We encourage all of our university customers to switch over to using this system for stock orders as soon as possible as we would like everyone to be using it by April 12th. After this date, we will be accepting paper tickets for stock orders on emergency basis only. Customers will have the ability to enter online orders from terminals located in the Chem Stores storeroom. We will continue to accept paper tickets for non-stock orders until further notice.

  1. Can I use the online catalog to placenon-stock orders such as specialty gas mixtures?

Yes. There is a non-stock ordering function on both the CyBUY and the ADIN systems. You can type in descriptions and/or vendor part numbers for items that Chem Stores does not carry in stock. We highly encourage our customers to use this for ordering their high purity gases and specialty gas mixtures.

  1. Will I continue to receive a paper receipt with my order?

Yes. A computer-generated receipt will be provided for each online order.
