I Rental Guidelines
1.1.Only Fireside at Desert Ridge residents are permitted to rent the facility. A resident may sponsor a guest with the understanding that the resident must pay for the rental and deposit in full, attend the entire event, and is responsible for following the guidelines of the facility.
1.2. Fireside Board of Directors can sponsor a rental for a guest. A limited number of 501(C)(3) organizations will be allowed to rent the facility with Board of Directors’ approval. 501(C)(3) organizations must abide by the Clubhouse and Rental and applicable guidelines as it relates to their charitable rental.
1.3.Users are responsible for any damage to Fireside at Desert Ridge Community Association Property (including damage caused by their guests, vendors or any other persons related to the party) and for all repairs or replacement costs.
1.4.All musicians, DJ’s, equipment, stereos, and speakers must be confined to your rental area (unless other arrangements are approved and specified in writing).
1.5.All music must cease by 10:00 p.m. All music must be kept at reasonable noise levels.
1.6.If you wish to extend your rental past the community center hours of operation there will be a $75 staff service fee per each additional hour extending no later than 11:00 pm.
1.7.Smoking is not permitted inside the facility. Smoking is permitted only in the designated smoking areas.
1.8.All kitchen equipment, banquet tables, podiums, electrical equipment, and audio equipment are to be provided by the party reserving the room. Users must arrange for all deliveries and pick-ups to be made the day of the event. Furniture, equipment and room set up and clean up are to be performed by the reserving party. Furnishings shall not be moved or rearranged without management consent.
1.9.Applicant must walk the facility beforehand to make sure it is in order. Any damage to the facility or cleaning required after the event will be deducted from the damage deposit.
1.10.The reserved area(s), including bathrooms, must be cleaned up and vacated within the reservation designated end time and no later than community center hours of operation. All necessary cleaning equipment and/or cleaning supplies will be provided by the Clubhouse staff. A $75 per hour fee will be assessed if rental exceeds designated rental time.
1.11.The resident is responsible for the removal of all trash to the trash cans located outside the kitchen doors. Furniture and furnishings shall be returned to their original location.
1.12.No portable cooking devices are allowed within the facilities or are to be used for any event. Open flames are not permitted at any time, such as candles or tiki torches, anywhere on the premises.
1.13.Fireside at Desert Ridge Community Association is not responsible for personal items that may be lost or stolen.
1.14.Residents must provide a copy of General Liability Insurance of any vendor (caterer, entertainer, etc.) taking a part in the event.
1.15.Latex balloons are not permitted. Mylar balloons are acceptable.
1.16.No signage of any kind, including balloons, streamers, markers or the like may be placed on any of the Association property leading up to the Community Center, or on premises, without advance approval. A deduction will be made to the damage deposit if such signage has to be removed by Fireside at Desert Ridge Community Association staff. Violation of this rule may also result in the loss of future rental privileges.
1.17.Parking is available in the Clubhouse parking lot or on the surrounding streets.
1.18.Certain dates may be unavailable due to Community Services or Fireside at Desert Ridge Community Association events. The Clubhouse will not be available for reservation on the days before and after a holiday or the actual day of a holiday including: New Year’s Eve and Day, Easter Sunday, July 4th, Thanksgiving Day, Christmas Eve and Christmas Day.
1.19.A schedule of availability can be obtained from the Executive Offices of Fireside at Desert Ridge Community Association. The Board of Directors has final approval for all events. Adjustments to these guidelines can be made any time at the Board’s discretion.
1.20.Any exceptions to the Rental Guidelines must be approved by the Fireside at Desert Ridge Community Association.
II Reservation Procedure
2.1.To make a reservation at The Community Center, the Refundable Damage Deposit, Rental Fees, Renter Information Form, Liability Waiver, and the Reservation Agreement must be completed and submitted to the Fireside at Desert Ridge Community Association managementoffice.
2.2.The refundable damage deposit will be returned to you by authorized staff upon inspection and approval of the rental post event.
2.3.All reservations must be cancelled within five (5) days of the event by notifying the management office. Any cancellations less than five (5) days prior to the event will be charged half of the reservation fee and may be a subject to additional fees.
In the best interest of you, the resident, Fireside at Desert Ridge Community Association can confirm your reservation only when the reserving party has read and signed Fireside at Desert Ridge Clubhouse Rental Guidelines and submitted the Damage Deposit check, confirming that he/she/they will abide the regulations listed in Fireside at Desert Ridge Clubhouse Rental Guidelines. By signing this document, you are agreeing to and confirming your understanding of the Clubhouse rules and regulations.

FACILITY RENTAL LIABILITY WAIVER
Fireside at Desert Ridge Community Association
I acknowledge and agree, on behalf of myself, my family, and my guests, that the use of the Fireside at Desert Ridge Community Association facilities, grounds, and landscape areas located in Phoenix, owned and operated by Fireside at Desert Ridge Community Association, involve potential risk of serious physical injury to a person undertaking these activities, or using these athletic and recreational facilities. I fully understand that any activity upon Fireside at Desert Ridge Community Association property may, by its very nature, be hazardous and that it can lead to serious injury to me, my family, my guests, and/or damage to my property.
I understand that by signing this form, I, my family, and my guests agree to assume the risks of potential injury, to which I am voluntarily exposing myself, my family, and my guests, by participation in any athletic, social or recreational activities at the facilities of Fireside at Desert Ridge Community Association.
On behalf of myself, my family, and my guests, I release from liability and hold Fireside at Desert Ridge Community Association harmless from any damage, injury and/or claim of any kind, whether to person or property as a result of such activities, and waive all claims that I, my family and/or my guests, may otherwise have or acquire against Fireside at Desert Ridge Community Association, its officers and directors, agents, employees or Pulte Homes, for any damage, injury and/or claim occurring to me, my family, or to my guests, whether to person or property, as a result of any use of Fireside at Desert Ridge Community Association property or participation in athletic, social or recreational activities on the facilities and grounds of Fireside at Desert Ridge Community Association, located in Phoenix, Arizona.
I have read The Clubhouse Rental Use Guidelines and this Rental Liability Waiver. I accept the liability for damage to Fireside at Desert Ridge Community Association property and for injury to persons admitted to the facility. I understand that in the event I, my family and/or guests violate any of the regulations, or if I provide inaccurate information on my application, Fireside at Desert Ridge Community Association reserves the right to cancel my function at any time, charge any and all expenses incurred and deduct any fines and/or penalties incurred by this violation from my Damage Deposit.

No one is allowed to consume or bring in any type of alcohol unless it is purchased from Fireside at Desert Ridge Homeowner Association. No alcoholic beverages should leave premises.
