SECTION: Safety SUBJECT: Center Vehicle Maintenance
Policy: Chilton Shelby Mental Health Center requires that all Center vehicles be frequently and routinely inspected and maintained to prevent malfunction and/or mechanical breakdown. Daily preventative maintenance will include at a minimum: a) visual inspection of windows, mirrors, tires and body of the vehicle, b) oil level check, c}radiator fluid level check. Weekly preventative maintenance will include at a minimum: a) tire pressure check with gauge (includes spare tire), b) check battery fluid level, c) check automatic transmission fluid level, d) check power steering fluid level, e) check brake and/or hydraulic fluid level, f) visually inspect entire engine compartment for signs of oil or fluid leaks, loose belts, wires, or bolts, or other obvious defects/problems, g) visually inspect the undercarriage/frame for signs of oil or fluid leaks, exhaust system failure/leakage, suspension failure, or other obvious problems/defects, h) check the operation of all lights and accessories, i) insure spare tire, jack, lug wrench, first aid kit and fire extinguisher are present and in usable condition. Minimum preventative maintenance scheduled by the manufacturer will include all items the items inspected and/or services as recommended by the manufacturer of the vehicle. The preventative maintenance to be performed and the scheduling of the preventative maintenance can be found in the owner's manual of the vehicle. Typical types of maintenance recommended by the manufacturer are oil and oil filter changes, valve adjustments, tire rotation, tune ups, and related items. Preventative maintenance recommended by the manufacturer should be completed as closely as possible to the mileage and/or time intervals specified by the manufacturer. Any problems noted during a preventative maintenance inspection should be reported to the Transportation Manager. Center vehicles will not be operated until a professional mechanic has addressed the problem and the Transportation Manager has deemed the Center vehicle safe to operate.
All vehicle operators will be trained on preventative maintenance during orientation and annually thereafter. The Transportation Manager is responsible for ensuring that the appropriate vehicle owner's manual, vehicle registration and current vehicle insurance information be maintained in the dashboard compartment of all Center vehicles.
Center vehicles should not be left with less than one-half a tank of gasoline. The driver of the vehicle is responsible for ensuring that the vehicle has at least one-half a tank of gasoline at the end of each trip.

Procedure:
1. The Transportation Manager is responsible for ensuring that the required preventative
maintenance is completed. A Vehicle Maintenance Service Log (ADM-36T) will be
completed each time maintenance is performed on a Center vehicle.
2. The primary driver of all Center vehicles will be responsible for completing the Weekly
Preventative Maintenance Check List (ADM-35T) on a weekly basis and forwarding them to
the Transportation Manager.
3. The Transportation Manager is responsible for maintaining the Vehicle Maintenance Service
Logs (ADM-36T) and the Weekly Preventative Maintenance Check List (ADM-35T) on all
Center vehicles.
4. The vehicle operator is responsible for correcting any minor problems (adding oil, gas, etc.
when needed) without a professional mechanic.
