CPPHS Band Boosters Meeting Minutes
October 13, 2016 at 7pm

Meeting called to order at 7pm
Beth Thomas welcomed everyone and made introductions of committee.
Director’s Reports
Mr. Stork
●Competition Band is rehearsing tonight
●Currently on a 3 show winning streak; beat Rome Free Academy.
●Show this Saturday in Vestal
●Home show for Bandtoberfest
●On to states in Syracuse.
Mr. Simons
●Gave an overview of Pep Band.
●First rehearsal 86 kids present with 117 signed up to participate.
●Need chaperones to help with the heavy lifting.
●First performance will be 12/2 at at Jackals game

●Performance on 12/11 at the Syracuse Dome
●Fundraiser - Scarves are available for $15 each to raise money for a new drum set.
●Uniform for Pep Band is two shirts: one $23 black long sleeve t-shirt and $10 white out shirt.
Mr. Griffin
●Reviewed the Virginia Beach Trip Itinerary for the 2016-2017 school year. Total cost of trip $689. Payments due 12/9, $400 and 3/9 $289. Commitment forms need to be submitted by next Friday, October 21st. If there is less than 75 obligations, the trip will have to be planned differently.
●Introduced first edition of Newsletter, goal is to do 3 per school year.
●Medical Information for Students - reviewed link to input if you wish to share your child’s medical needs with chaperones.
Mrs. Griffin
●Chaperones are needed for Friday’s football game.
●Review new barcode system to help improve attendance tracking, need parents to assist by scanning cards. Would like to pilot the system this Friday.
●Request to create a Lead Chaperone position.

Motion to create a Lead Chaperone position to aid Band Directors and volunteers with organization and direction for chaperoning of events and field trips. One Lead Chaperone with three assistants as back up when lead chaperone may not be available.
All in favor, none opposed. Motion approved.

Nominating Committee
KrisBennitt and Lily Palacio have volunteered to be the nominating committee, they will present nominations of officers at the next meeting and voting will take place in December. Please note: you must be a member to vote.
Secretary’s Report

Treasurer’s Report
Janelle presented the report and explained that only the NASCAR fundraiser has been closed out.

Virginia Beach Trip - deadline to commit is next Friday.
London Trip - meeting was held on Tuesday. Question from parent on financial hardships. Directors explained that financial hardships will be addressed on an individual basis. 186 students indicated they would commit based on survey. Survey will be going out to parents to gauge talents and interest in assisting with trip planning.
Fundraising
●Krispy Kremes - completed, final profit to be announced.
●Coffee and Tea are due October 21st.
●Vitrix sales will begin on 10/28, samples are available to view. Many new items this year including a Hawk Ornament. Orders are due by 11/14.
●Wreaths - sales start next week and are due by 11/10.
●Crystal City Competition - Horseheads and Bath were not in attendance but event went well.
●Bandtoberfest - need volunteers!
