MINUTES OF THE MANAGEMENT COMMITTEE MEETING HELD ON
21 JUNE 2017

1. Minutes of Previous Meeting
The minutes from the previous meeting were not reviewed in this meeting.
2. Matters Arising
Craig Pounder has elected to join the committee. Proposed by Joanne McPherson and seconded by Helen Wilkinson.
While understandably general conversation is unavoidable if was requested that all committee members maintain a degree of confidentiality on matters arising until the status is published.
The recent resignations were highlighted and accepted by the committee:
Paul Baxter (Vice Chair)
Steve McPherson (Secretary)
Paul Wilson (Committee Member) – replaced by Craig Pounder
It was agreed that these club members have and continue to play a crucial role in the success of the club. A letter acknowledging each person’s contribution within the committee will be provided.
Responsibility for covering the vacant roles will be undertaken by the committee.
It was confirmed that Neil Hunter had tendered his resignation and proposed to remain in post until the next AGM. The next AGM is scheduled for early next year. The committee acknowledged that Neil had undertaken an important role for the past 10 years and that a controlled handover was in the best interest of the club.
It was openly accepted that the club’s vision and priorities were being questioned, which included the partnership between the Athletics Club and York School Sports Network. It was also openly accepted the U11’s were deserving of greater focus and competition including Sports Hall and events such as Quad Kids. With over 150 members under the age of 16 and the ongoing work in the community this was a group in its own right.
Neil has highlighted that he intends to further expand the Run York Partnership and set up a new club that will develop his vision and strategy further and reach out to groups throughout the community. This club is expected to be separate from York Athletics Club but would partnership alongside the Athletics Club and Sweat Equity. Exact details of the timeframe and the governance were not available. The committee discussed a similar model that exists in other clubs within the region.
It was accepted by all committee members that there was no current conflict of interest and that Neil should remain as Chairman of the club pending his departure at the next AGM. The relationship with Sweat Equity was provided as example of this successful relationship.
Craig Pounder highlighted his desire to take on the role as Coach Co-ordinator. This wouldn’t be an option until Craig completed his Level 2 Coaching course later this year.
Keith Davies (School Sports Manager) provided a powerful statement regarding the ongoing programme in York schools that Paula Thomas undertakes. It was agreed that this feedback needed to be shared with club members.
A request was made for all committee members to actively contribute in the Operational aspects of the club. This included the two remaining Summer League events and the York Open. It is recognised that attendance may not always be possible however there will be actions that committee members can lead or contribute in.
Concern was raised regarding the lack of notice boards in the club house. The issue was recognised however while a noticeboard has now been provided by the University the club are not authorised to mount on the wall. This will be raised again with the University. Requests to install multiple notice boards are unlikely to be granted as the club house is a shared facility.
The date of the next meeting will be communicated in due course.
