1.C4C User Migration – Requestor Guide

The purpose of this document is to explain instructions for Requestor who is going to submit the C4C user migration account from GI accounts to C4C accounts for Shell Contractors (Users).

2.C4C User Migration Service Background

In line with Peter Voser’s focus on cost savings, Shellis rolling out a new way of working to Shell’s contractors. Via the Client for Contractors (C4C) service, you will be able to access selected Shell applications and services using your laptop, working inside or away from Shell offices. C4C is replacement for your GI-D account and PC. The C4C User Migration Service is here to migrate your GI Account to C4C Account, which will be tailored with your Shell applications and services. C4C Migration Service includes:

  • Validation of your Shell applications and services via C4C
  • C4C Account Creations
  • Vasco Token delivery
  • Assignment of your Shell applications and services to your C4C Account.
  • End User Survey

Once you complete your migration to C4C Service, your GI Account will be deleted.

3.Instructions

3.1 Prior to the submission of C4C user migration

Step 1 : You will need to first download the Company List and Archetype/Resource Group List

i)Goto C4C Web Portal

ii)Click on left menu for “Help & Guidance” and download the C4C Registered Company List

Step 2 : Assess if the required companies are listed in the downloaded Company List

If the required Company Master, and Child code information is not available, you will need to contact the business sponsor for registration of Company.

Step 3 : Assess if the required Resources are listed in the downloaded Archetype/Resource Group List

If the required Resource Group (that has been tested by business application team) is not available, you can then raise a request for creating new Resource via the MyRequest :

OR

  • 600-SHL1286S Client for Contractors - C4C - Web/File Resource - Add

Note:

For the “Not Tested & Light Tested” categorized RG that have not been tested and onboarded. If this application is critical to the business and users, then the requestor MUST engage business application tester (via functional mailbox) to test the application. Take note that HP is not responsible for any business application testing and application issue.

Step 4 : Assess if the required Archetype Groups are listed in the downloaded Archetype/Resource Group List

i)Goto C4C Web Portal

ii)Click on left menu for “Help & Guidance” and download the Archetype Group Creation Form

iii)Please follow the below steps to fill in the form

  1. Goto click on left menu "Help & Guidance".
  2. Download C4C Registered Company List
  3. Identify the company code and location code to be assigned to the new Archetype Group.
  • Company Code – Look for “Shell Company Code” field in column S
  • Company Location – Look for “Shell Location Code field” in column W

Company Location
Archetype Division (Free Text) / You may type in any text that representing the Archetype Group company division
Archetype Description (Free Text) / Example : Service Desk or Project or Production or Testing or Pilot or Developer or Consultant
Resources to be assigned /
  1. Goto click on left menu "Help & Guidance".
  2. Download C4C Registered Group and Resource Group (AG/RG).
  3. Goto “Registered RG” tab
  4. Choose the RG that you want to assign to this new group from column A “id”

iv)When completed, attached the form in email and send to

v)Upon completion of the registration of new Archetype group, you will be notified by C4C Migration Team

Step 5 : You will have to provide the instructions to Shell contractors (Users) on the C4C User Migration activities.

iii)Download C4C User Migration – User Guide

3.2 Submission of C4C User Migration Service Request

Step 6 : Download the Request Form, Companies List and Archetype/Resource Group List from C4C Web Portal

i)Request form – Click on the left menu for “C4C Migration (From GI to C4C Account) Service Request Form” and save

ii)Companies List and Archetype/Resource Group List – Click on left menu for “Help & Guidance”

Step 7:Compile the received input of information from Users and fill in the Request Form by referring to Companies List and Archetype/Resource Group List

C4C Migration (From GI to C4C Account) Service Request Form :

Refer to the following steps in identifying the correct values to be filled in Request Form.

GID User ID / Key in the Shell contractors’ User ID.
The User ID can be found in GAL or Who’s Who
Description / Key in the Shell contractor’s department name

  1. Open the downloaded company list
  2. For 3rd Party Contractor Company (Master) Code, refer to Column B
  3. For 3rd Party Legal Entity (Childe) Code, refer to Column E
  4. For 3rd Party Contract Base, refer to Column G
  5. For Current Shell Contract Expired Date, please refer to column F
If users’ company information not listed in the company list, please follow step 2 in this document.

  1. Open the downloaded Archetype/Resources Group List
  2. Choose the Archetype with the Resources that you want to assign to you account.By selecting from AGvRG tab and look for a value in column A “Archetype (AG Group)” field
If users required Archetype not in the Archetype/Resources Group List, please follow step 4 in this document
NOTE : You can only input one Archetype per account entry.

Step 8: Submit in C4C User Migration Service Product in MyRequest

  1. After completing the Request form, Requestor is required to raise a request via C4C- Account – Migration (GID to C4C) Product in MyRequest link
  2. In the Client for Contractors -C4C- Account – Migration (GID to C4C) Product page, requestor is required to provide the email address, company and location details. And lastly follow the required steps to complete the submission.

  1. Proceed to submit the request accordingly. Once request successfully submitted, Requisition ID will be provided. Kindly copy down the Requisition ID to be used in next steps
  2. Compose an email and proceed to attach the completed C4C Migration Request Form file and place email subject as a “C4C- Account – Migration (GID to C4C) – [Please insert your Requisition ID here that you obtained from step 3]”.
  3. When the Request Form has been filled, it should be attached to an email and sent to

Step 9 : Submit C4C Onsite Support Engineer Service Product in MyRequest (if requested by contractors)

  1. After received the email notification from C4C Migration Team to proceed with the submission of C4C OnSite Support Engineer, Requestor is required to contact the list of green users and confirm the schedule (dates and time) for engineer to be onsite.
  2. Upon the confirmation of the schedule, Requestor will need to submit the request viaClient for Contractors - C4C- Account – Migration Support Product in MyRequest link

The service cost is stated in the excel spreadsheets in the “Useful links”

3.3After C4C User Migration Service Bundle Submission

Step 10 : If you receive a list of Red Users (non-qualified users) from C4C Migration Team, you will need contact the Red Users and inform them to fix the non-qualified criteria.

After the Red Users fixed the non-qualified criteria, you will require to start from Step 1.

3.4 After C4C User Migration Team completed the C4C account migration

Step 12:C4C Migration Team will send you the successful migrated user list that you have submitted via C4C User Migration Service Bundle
