GENERAL PURPOSE
Performs routine receptionist, clerical, and administrative work including answering phones, receiving the public, providing customer assistance, data processing, receiving and sorting mail and routine secretarial work and filing.
SUPERVISION RECEIVED
Works under supervision of the Executive Assistant to the City Manager.
SUPERVISION EXERCISED
None.
ESSENTIAL DUTIES AND RESPONSIBILITIES
General:
Answers telephones, provides assistance and information to callers for City in general, as well as when phones are forwarded from a specific City department.
Receives the public and answers questions, responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
Sorts and distributes all incoming city mail and deliveries.
Duplicates and distributes materials.
Assists with maintenance of website postings as necessary and assigned.
Operates listed office machines as required.
Assists Other Department’s with daily workload according to department procedures.
Performs various projects assigned by the Executive Assistant.
PERIPHERAL DUTIES
Provides backup and assistance to related positions in other departments as necessary and as assigned.
DESIRED MINIMUM QUALIFICATIONS
(A) Must be 18 years of age or older at time of employment.
(B) No felony convictions or disqualifying criminal history within the past seven years.
(C) Must be able to read and write the English language.
(D) Must be bondable to $100,000.00
(E) Must demonstrate ability to use and operate a computer including word processing, spreadsheet and data base applications prior to appointment.
Education and Experience:
Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping, and (B) two (2) years of increasingly responsible related experience, or any equivalent combination of related education and experience.
Necessary Knowledge, Skills and Abilities:
(A) Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures; basic knowledge of accounting principles and practices; ability to type accurately 40 WPM.
(B) Skill in operation of listed tools and equipment.
(C) Ability to effectively meet and deal with the public; ability to communicate effectively both verbally and in writing; ability to handle stressful situations.
