Minutes of Executive Committee Meeting
Chartwell Guildwood, January 13, 2015

1.Donna Milovanovic called the meeting to order at 7:33 p.m.
2.M/S to adopt the amended Agenda to include under New Business “On-Line/Credit Card Payment Option”. Carried.
3.Introductions: None required.
4.Guests: Councillor Ainslie was unable to attend the meeting. In his absence, Donna Milovanovic reported the City staff is finalizing the lease with Dynamic Hospitality. She also reported that Paul Ainslie spoke with Michael Williams to explain that the scope of the cultural precinct is the whole property, not just Building 191. At the GRG Board meeting Linda Harris stated she is confident that he was on the right track. No date for a community meeting has been set.
5.Approval of Minutes: M/S to adopt the minutes of the December 9, 2014, meeting as distributed. Carried.
6.Communications: Donna Milovanovic reviewed communications received. Most were received as information. Those noted are:
6.1Mike Brennan has volunteered to take on the role of Advertising Coordinator. Donna will contact him and invite him to attend the Exec meetings and become a MAL.
6.2Jack Henry, editor of Guildwoodian, would like to interview candidates who will be running in the next Federal election and post it on his website.
6.3Paul Ainslie issued a news release that the City is requesting funds from the province to help cover ice storm damage costs.
6.4There is a meeting of the Scarborough Community Renewal Campaign on January21 at Scarboro Golf & Country Club. Jim Whitney plans to attend on behalf of the GVCA.
6.5Paul McIntosh, a realtor in the community, plans to put out a newsletter and would like to include community events. We noted he is a new advertiser in News & Views.
7.AGM: Donna Milovanovic has been in contact with Mayor John Tory’s office and noted that the request for him to be our guest speaker is on his calendar. This will be confirmed closer to the date. News & Views will state that he has been invited to speak and for everyone to watch for confirmation on the website and postings in the Village closer to the date. If he is unable to attend, we will ask Paul Ainslie to give an update on the Guild.
8.Treasurer’s Report: Jim Whitney was absent and no report was available. Donna Milovanovic circulated a sympathy card for us to sign to be sent to Rev. Stephen Kirkegaard at Holy Trinity on the recent death of his wife.
M/S that the GVCA donate a memorial amount of $150 in memory of Sandy Kirkegaard to Church of the Holy Trinity, Guildwood. Carried.
9.Community Investment Committee update: No update available at the meeting. Jim Whitney has prepared an article that will appear in the winter issue of News & Views.
10.Membership Drive: In Audrea Douglas’s absence, Andy thanked everyone who canvassed last year and hopes everyone will continue to canvass this year.
11.Guildwood Day: Dave Arnold reported that he is requesting the permits from the TDSB for Laurier, the parade and for Guild Park. Dave will follow up with Mary Ellen Chater to set up a meeting to begin planning for 2015’s event.
12.News & Views: Judy Baribeau reported that the winter issue is now being proofed and plans to get it to the printer this week. We are pleased that Mike Brennan volunteered to take over the role of Advertising Coordinator from Reg Wolfe, and we thanked Reg for his work in this capacity over the years. Reg will arrange the turnover with Mike.
13.CPLC Update: Reg Wolfe attended the January 8 meeting and prepared a report on the November and January meetings for News & Views. The December meeting was cancelled because of a snow storm. He also noted that 43 Division is participating in a pilot program for using body cameras.
14.Guild Sub-Committee ‒ Friends” Group Update: John Mason reported he has prepared an update article for News & Views. John attended MPP Mitzie Hunter's Open House and had the opportunity to speak with Mayor Tory regarding Guild Park's future. The Mayor doesn’t understand the roadblocks of progress at the park. John has also spoken with Paul Ainslie about his discussion with the Mayor. John Mason noted that an overall management plan is needed for the Park.
John distributed a calendar of Guild Park Activities planned for 2015. He is concerned that the artefacts in the park are not being cared for. He noted that the City is considering giving a plaque to the Guild Park, following the Ontario Heritage decision to decline giving a plaque.
The Friends group is planning a fundraiser on March 7 at Cedar Ridge. It will include a speaker, entertainment, silent auction, and food.
15.New Business: On-Line/Credit Card Payment Option: Dave Arnold will research this process for the GVCA. Bruce Villeneuve volunteered to assist him in his research. Dave will also ask Andrew Macklin to be involved.
M/S that the GVCA set up a committee to investigate an on-line payment program. Carried.
16.Next Meeting: Tuesday, February 10, 2015, 7:30 p.m.
