Job Title:FinanceOfficer to cover 9 months maternity leave
Reporting to:Deputy Chief Executive
Salary:£26,664 (pro rata)
Hours:28per week
Purpose of the Post
To provide robust financial reporting and day to day management of the financial affairs of Age UK Croydon, an independent local charity working for and with older people in Croydon.
Key Duties and Responsibilities
Financial accounting and reporting
1.Maintain and where appropriate develop, timely and accurate financial statements and reports that are appropriate for the users
2.Implement, and ensure compliance with internal financial and accounting policies and procedures
3.Prepare all supporting information for the annual audit and liaise with the external auditors as necessary
4.Maintain the general ledger, accounts payable, accounts receivable and payroll
5.Document and maintain complete and accurate supporting information for all financial transactions
6.Develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control, and petty cash
7.Reconcile bank and investment accounts
8.Review monthly results and implement monthly variance reporting
9.Manage the cash flow and prepare cash flow forecasts in accordance with policy
10.Develop and implement policies and procedures to ensure that personnel and financial information is secure and stored in compliance with current legislation
11.Manage the acquisition of capital assets and ensure that assets are properly recorded, amortized, and disposed of as appropriate
12Prepare annual charitable return in a timely manner as appropriate
13Prepare and file VAT and corporation tax returns, ensure payments of taxes on a timely basis
14Liaise with the Treasurer, Finance Committee and Board as appropriate
15 Reporting directly to the Deputy CEO. Working to improve financial procedures where possible and to incorporate changes which may be requested by the Finance Committee.
15Assist the Treasurer with financial reporting as required
Payroll preparation and administration
16.Maintain time recording processes and systems to ensure an accurate payroll
17.Manage the external payroll function to ensure that employees are paid in a timely and accurate manner
18.Manage the pension plan and ensure all contributions are paid and accounted timely and accurately
19.Ensure pay and benefits statutory reporting is completed on time
Budget preparation
20.Maintain, and if appropriate develop, guidelines for budget forecast preparation, and prepare the annual budget in consultation with the Chief Executive and Senior Management Team
21.Assist Project Managers with the preparation of budgets for funding applications
Project management accounting
22.Maintain financial records for each project in a manner that facilitates management reports
23.Ensure that accurate and timely financial statements are prepared in accordance with contract agreements with funders
24.Provide accurate and timely reporting on the financial activity of individual projects
Information technology
25.Evaluate the need for new technology to meet the organization's financial data processing, control, and reporting requirements
26.Advise on appropriate technology that meets the organization's information requirements and financial resources
Risk management
27.Monitor financial risk management policies and procedures to ensure that
28.Advise the Chief Executive and Finance Committee on appropriate insurance coverage
Investment and Banking Relationships
29,Maintain investment and banking limits within agreed policies
30.Maximize income where possible and appropriate
31.Negotiate with banks for financial services as required and appropriate
