FINANCE OFFICER

JOB DESCRIPTION

The role reportsto the College Accountant or, in her absence,directly to the Bursar.

The appointed person will work with two other Accounts Assistants and all will be expected to support each other’s workloads, as necessary.

Management Accounting

-Assist in production of monthly management accounts including narrative commentary

-Assist in the review of cost reports with line managers and production of a revised forecast for management accounts

-Production and distribution of Cost Centre Reports

Budgets

-Assist in preparation of Budgets

-Assist in the reviewof Budget and Income/Cost Variances

-Assist in the review and preparation of in-year forecasts

-Budget and forecast imports

-Budget updates

Fees, Invoicing and Debt Chasing

-Fees – billing and reconciling fee schedules, termly returns

-Debtors listing – sales Ledger monthly

-Dealing with students/parents and their queries, with regards to battels* and fees

-Commercial rent invoicing.

*Battels = College bill

Online Payments and Cashflow Monitoring

-Set up and maintain Bankline system for users, imports and payments including BACS, CHAPS, International and Internal transfers

-Weekly cashflow forecast

Reconciliations

-Reconciliation of Pembroke College Enterprises Ltd (PCEL) when required

-Sundry control account reconciliations

Annual Accounts

-Assist withyear end accounts – accruals/prepayments

-Prepare year end schedules

-Assistin Senior Common Room Accounts

-Assist in providing information to the auditors

Systems Administration

-Adding new nominal codes

-Creating new periods/years

-Report writing.

Adhoc Duties

-Sundry duties as required

Skills and Experience

-Several years experience gained in a similar role.

-Ideally experience gained in an OxfordCollege or similar institution.

-A high level of computer literacy with good knowledge of Microsoft Excel.

-This role could suit a person who is qualified/part-qualified or who has extended relevant experience of working in an Oxford College environment.

-Ability to meet deadlines.

-Ability to work flexibly as a member of the Accounts Team.
