VACANCY: EMIS Supervisor

JOB GOAL:

Coordinates the effective collection, analysis, maintenance and reporting of district data. To provide training and support to all secretarial staff, display good judgment and maintain a professional demeanor, and present a positive image for the district in all interpersonal relations.

Superintendent

QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES:

1.  High School Graduate, Certified EMIS (CEP).

2.  Appropriate related experience.

3.  Must possess competency in technology in general, and specifically Microsoft Office Suite, Google Docs, and state software applications (EMIS).

4.  High level of knowledge and experience in the area of Education Management Information System (EMIS).

5.  Proficient in the use of automated data processing systems and statistical analysis. (DASL, etc.)

6.  Ability to communicate effectively (verbally and in writing).

7.  Efficient and effective in meeting deadlines for accurate information.

8.  Alternatives to the above qualifications as the Board may find appropriate and acceptable.

PERFORMANCE RESPONSIBILITIES:

The individual in this assignment must discharge all delegated responsibilities in a manner, which is consistently in accordance with the policies adopted by the Board of Education. Work related to the performance responsibilities listed below may be assigned by the Superintendent, Treasurer or Director of Pupil Services. Work shall include, but not be limited to those tasks listed below:

ESSENTIAL FUNCTIONS:

1. Performs data management information service functions and ancillary

duties that facilitate the timely attainment of department/district objectives.

·  Manages multiple projects maintaining a high degree of accountability for results.

·  Develops a work plan. Ensures essential tasks are completed within required time-frames.

·  Keeps administrators aware of work progress/pending deadlines.

·  Answers/directs phone calls efficiently. Takes detailed messages.

·  Prepares letters, memos, notes, E-mails, etc. Maintains calendars/schedules as directed.

·  Prepares photocopies. Prints, collates, covers and binds reports and educational materials.

·  Serves as a liaison between the district and state data acquisition site.

·  Communicates updated information and trains staff responsible for data collection/processing.

·  Monitors compliance with state guidelines. Maintains required records (e.g., pupil demographics, academic courses, student testing information, attendance, etc.).

·  Collects and reports non-resident student information in an effort to obtain additional ODE funding.

·  Provides information to private schools to meet ODE compliance requirements for district residents.

·  Produces and submits data for federal/state surveys and reports (e.g., Civil Rights Report, Compliance Report, etc.).

·  Assists the district registrar with the collection of enrollment forms and verification of supporting documentation.

·  Enters data into the Student Information System ensuring the proper coding is used in EMIS reports submitted to the ODE.

·  Reviews residency verification and custody documents.

·  E-mails notification and transmits records to the transportation department and proper school.

·  Maintains a database for enrollment, residency and custody information.

·  Generates parent and student user-names and passwords for ProgressBook.

·  Monitors rental and lease agreements are to ensure documents are current/valid.

·  Initiates change of address or withdrawal processes after receiving relocation notification.

·  Investigates potential fraud cases regarding non-residents students enrolled in district schools.

·  Corrects errors and helps resolve problems encountered by staff.

·  Coordinates the transfer of data between district buildings and the state data acquisition site.

·  Provides technical support for student scheduling activities.

·  Follows established office protocols to ensure the accurate/timely recording and preservation of documents. Maintains a systematic filing system that supports the efficient retrieval of records.

·  Collects/organizes data for analysis. Helps interpret data for forecasting and/or reports.

·  Helps with special projects/committee activities as directed.

·  Helps maintain essential office services during department staff absences.

2. Exemplifies professionalism and fosters goodwill to enhance the district’s public image.

·  Refers district policy interpretation questions to an appropriate administrator.
