Title: Administrator/Weekend Receptionist.
Salary: £7.20 per hour
Hours: 18 hours per Week (7 Hours Saturday/7 hours Sunday 2 hours Monday and 2 hours Friday to ensure smooth handover.)
Term: Permanent (3 month probationary period)
Reports to: Centre Manager
Purpose of the post:
The Administrator is responsible for assisting the Manager in maintaining an efficient Office at Trindledown. They will also ensure that there is a friendly customer care service to visitors and callers.
Duties and Responsibilities:
1. Administration
1.1. To be responsible for welcoming customers to the Centre, informing them of our procedures, escorting them around site and being helpful at all times
1.2. To ensure that the telephone /email and online enquiries are answered promptly and politely,also keeping office clean and tidy .
1.3. To be responsible for office administration tasks, i.e. daily correspondence, maintenance of HR records that include overtime, sickness and annual leave entitlement/statistics.
1.4. To be responsible for ordering office stationary and consumable goods
1.5. To be responsible for arranging routine maintenance checks and keeping up to date records .
1.6. To be responsible for routine Health and Safety checks/testing and maintenance are kept up to date .
1.7. To ensure that all monies received at Trindledown are accurately accounted for and banked
1.8. To be responsible for writing ‘thank-you’ letters and answering all enquiries promptly
1.9. To assist the admin and fundraising assistant in her absence and act as point of contact for the volunteers at Trindledown and ensuring that they are kept up-to-date with events and relevant information concerning the Trust
1.10. To be responsible for sponsorship, compiling and sending sponsorship packs and corresponding with adopters about renewal, or death/homing of a sponsored animal
1.12 To organise and factor in the rotas with the Animal Care Leaders any required
training
1.13 To liaise with the full time administrator ensuring a smooth handover between both parties .
2. Events
2.1. If required to assist the admin and fundraising assistant/ Manager to ensure that events are properly planned and advertised through all of the available mediums.
2.2. If required to assist the admin and fundraising assistant / Manager in representing the Trust at local events and shows as necessary.
3. Other Duties
3.1. To attend any Team and other internal meetings as requested
3.2. To attend relevant training and personal development opportunities in order to fulfil the requirements of the post
3.3. To adhere to all NAWT policies and procedures and assist the organisation in developing, implementing and monitoring them, including Equal Opportunities and Health & Safety policies
3.4. To carry out any other duties relevant to the post as directed by the Manager or Board of Trustees
