Pop-a-Note: How to Specify Note Content

You can choose the type of content your Notes are based on. There are 3 options: Pop Culture Only, Real Estate Only or Both.

“Pop Culture” notes are short fun interesting facts intended to help create conversations.

“Real Estate” notes are interesting topics that have some relation to the real estate industry.

“Both” would be a random selection from both of the above categories.

To select your content preference, log into http://www.popanote.com/users/login/.

From the top menu, select “My Account.”

From the left navigation, select “My Settings.”

The first item on this page allows you to select which category of content your notes will be based on.

Not sure what category to select? Try this - Make a selection, then view available content on the Notes page (Click Notes from the top menu, and Pop-a-Note Now from left navigation).

You’ll be able to see the notes available in that category. Then go back, change your selection, and view the new list of notes. Which do you like best? You can change your category at any time.

Be sure to click “Save” at the bottom of the page to accept your changes.

Pop-a-Note: Displaying the REALTOR® Icon

If you are a member of the National Association of REALTORS®, you can have the REALTOR® icon display on each note that is sent on your behalf. /

As stated on www.realtor.org, “Use of the Mark is a privilege of membership, not an obligation. If you are a member, you are authorized to indicate you are a member of NAR and a real estate professional by using the REALTOR® marks in advertising, business cards, etc.”

You may also choose to display the Fair Housing icon as well. /

To add the REALTOR® icon to your note personalization, log into http://www.popanote.com/users/login/.

1  From the top menu, select “My Account.”

2  From the left navigation, select “My Settings.”

3  Check the box next to the icons that you would like to display on your notes.

4  Be sure to click “Save” at the bottom of the page to accept your changes.

Pop-a-Note: How to set Auto and Manual

To set Pop-a-Note on automatic send (“set it and forget it”), log into http://www.popanote.com/users/login/.

If you wish to see or choose your Notes before they are sent we suggest you turn “Auto send to my contacts?:” to “No, I will send myself” because notes sent automatically cannot be seen before they go out however full stats can be seen after the note goes out.

To send Notes automatically follow these steps.

Go to My Account > My Settings and choose your Note Content (Pop Culture Only, Real Estate Only or Both)

1  In Contacts area choose Yes for "Autosend to my contacts?"

2  Choose frequency, every 2, 3, 4, 5, or 6 weeks.

3  Choose which group to send to (currently can only auto send to one group)

4  Click Save.

Pop-a-Note will automatically send a note with the selected content. The first note will go out around 11am or perhaps 11am next day depending on when you set this. Subsequent notes will be sent again at the time interval you’ve selected (2, 3, 4, 5, or 6 weeks).

With Auto Send selected, you are NOT able to preview the Notes going out; the system sends these for you automatically and ensures members to do not receive the same note twice.

You will be able to see stats for each note in the Notes area after the Note has gone out. It is recommended that you add your own email to the list so that you get a copy of the Note and know when the Note went out.

If you wish to see or choose your notes before they are sent we suggest you turn “Auto send to my contacts?:” to “No, I will send myself”. Then go to Notes > “Pop-a-Note Now!” to manually select a note.

Regardless of whether you set Auto Send to yes or no you may send up to five notes a month manually.

Here's how to manually send notes:

1  From Notes click "Pop-a-Note Now!"

2  Check off a note that you want to send.

3  You will be taken to the “Your Note Details” page. Here, you can review the Note and modify it if you wish. When you are satisfied with your Note Content, click Next.

4  You will be taken to the Schedule The Delivery page.

5  Select a Group to send the Note to.

6  Select a Date to Send.

If you want to see what the note looks like before sending to your contacts click "Preview this note," or click "Email me this note" to have the note sent to your own email account.

8  If you are ready to send your Note, click Finalize.

9  The selected note will now be moved to the Note History area. (You will be directed here upon Finalizing.)

10  In Note History, you will be able to see the status of the Note, re-send the Note to a different Group, or even cancel it if it has not yet been sent.

11  If you elected to send the note today the status of the note will be “Approved" and will be sent out shortly, otherwise the note will be sent on the day you chose.

We encourage you to add your own name to your contact list and/or specific Group if that is used; this way you will get a copy of the note yourself and will know immediately when it was sent out.

Additional Information about Auto Send and New Contacts

●  If a new member adds fifty contacts today and sets Auto Send to send a note every three weeks the first note will go out the next day to those fifty contacts and the next note will go out three weeks from then.

●  If ten NEW contacts are added after the next day, they will get their first note when the next scheduled note goes out in three weeks. Thus in three weeks from tomorrow sixty notes would be sent: fifty from the first group of contacts and ten from the second group of contacts added after the first note went out.

●  If a user wanted the ten NEW contacts to get a note sooner, the new contacts could be added to a group and the user could resend the the note by toggling the green arrow from the Notes > Notes History list. (Auto send Notes do not appear in Notes History until after they have been sent out.)

Pop-a-Note: About Theme

As you most likely know, Pop-a-Note emails and the News Hub where the full stories related to the Notes can be viewed can be customized with all of your personal contact information, but they can also include your personal color schemes.

You may want to keep your branding consistent with your company colors, or you may have your own personal color preferences, and these can be incorporated easily into your Notes. Here’s how:

Log into http://www.popanote.com/users/login/.

From the top menu, select “My Account.”

From the left navigation, select “My Settings.”

The bottom of this page has an area where you can select your colors for both the background of your notes, and the header of your News Hub. Clicking on the color box to the right of each category will open up the color palate where you can select your desired color. If you know the hexadecimal code for the color you want, you can enter that code into the field.

Be sure to click “Save” at the bottom of the page to accept your changes.

Click “Preview Note Branding” at top of “My Settings” area to see what your Note and News Hub looks like.
