Excused: Amy Louallen , Marie Rogers

·  The minutes of the January 29, 2010 meeting were approved.

·  Greg Forbes received a faxed contract and wants a new contract to sign because the fax machine caused blots where the contract was highlighted. He was also sent the original, but has been unable to get to his post office box.

·  We have not yet received a signed contract from Kinetic Affect.

·  The panel is set with Jolene Osei, Bruce Kocher, Bala and David Hernandez as panelists.

·  When classes visit the Race Machine the volunteer monitors will need to be at the machine to keep the machine on race. When things are slow going, visitors may look at the aging, anomalies, etc. options as well. The volunteer signup sheet is ready and being filled.

·  Registration is open as of yesterday.

·  ECCU is still the only sponsor.

·  We discussed what to do if Greg Forbes doesn’t come. Nancy Taylor suggested having a film with discussion afterward as a backup. One of Jane Elliott’s films was suggested. Kate Ferraro suggested having Gail Griffiths. It was decided that Mary Johnson should e-mail and phone Greg Forbes with a deadline to return the signed contract so that we can move forward. Nancy Taylor suggested that we also send Greg Forbes the link to the registration site.

·  Marylan Hightree will change the keynote speaker from Greg Forbes to To Be Announced.

·  Nancy Taylor will have the posters made. All pictures are to be sent to Mary Johnson to give to Tarona Guy since Tarona would like all publicity materials to come from one person.

·  Mary Johnson read through the publicity schedule.

·  The Evaluations Committee had nothing to report.

·  Bonita Bates reported that Mike Collins approved printing up conference notepads. She will hold off on having them printed in the hopes of getting a new sponsor to add to them.

·  Marketing may have a few cups and things with the old KVCC logo to give away as gifts to the panelists. We voted to look into this.

·  Bonita Bates stated that we need something for crowd management at the conference. She suggested that we have something to entertain people while they are standing in line.

·  The Facilities Committee needs to know what the speakers and the Registration Committee need from them. Tony Ide wants everything to be on one work order.

·  The Food and Beverage Committee is waiting on quotes from the Radisson and Pistachio’s.

·  Nancy Taylor encouraged the committee members to get involved in the March book discussion groups on race.

·  Jackie Howlett will purchase the water for the speakers.

·  The pictures and biographies of the panelists can also be used on the website.
