AHIP Implementation and Administrative Checklist
Implementation Steps
90 - 120 days before program launch
Call with ACEC Life/Health Trust to confirm you understand and agree to the AHIP objectives and requirements.
- Your brokermust MUST be included on this call.
Sign and return Employer Agreement to commit your firm to our shared AHIP objectives.
Complete a census of all employees and spouses covered by the Trust medical plan.
Schedule onsite biometric screening events for any location that can guarantee a minimum of 20 participants.

Employee Rollout
30-60 days before program launch
Review the Ccommunication web page [LS2]to see a full listing of available materials.
Send out Announcement/IntroductionmMaterials as a teaser for the program to come.
Schedule an employee rollout meeting and confirm the presenter.

Prepare for employee meeting by reviewing and customizing the powerpointPowerPoint presentation.
- Please note that the prepared presentation contains suggested messaging about the AHIP program, so you should plan to make necessary edits depending on your firm’s unique circumstances.
Print out Introduction and Why AHIP?Materials materials to provide as a handout to employees.
Send follow-up email with electronic versions of materials or post on Intranet after presentation.
Biometric Screenings
First 90 days of program year
Review the Ccommunications web page for the available materials to promote the biometric screenings.
Send eligibility information to ACEC Life/Health Trust for new hires and spouses.
- New employees and spouses can continue to be added to the program until the end of the screening period.
- We recommend that you waive participation for anyone added after that point and they would not be subject to the premium differential. They can begin participatingmay participate the following year.
Send out email reminder for employees to schedule appointments for biometric screening events.
- Scheduling can be done online in a participant’s web portal account or manually on a sign-up sheet.
Prepare room for day of screening event.
- Print out copies of materials to promote remaining AHIP requirements and make available to employees that day.
Send out an email to remind those that who could not participate in the event that they can complete a screening at a laboratory location or by submitting a physician form with results from another provider.
- We recommend attaching the “How to Set-Up a Health Screening Guide” for their reference.
Following your screening event, confirm current screening completion percentage.
- During your first year participating in AHIP, your firm will receive 2/3 of your 5% refund of premium for achieving a 50% screening rate.
- Screening rate is calculated from all eligible employees and spouses that are covered by the Trust medical plan.
Promote other AHIP Requirements and Health Improvement Programs
Within 30 days afterscreenings
Review Ccommunications web page for the available materials to promote the remaining AHIP requirements and health improvement programs (Naturally Slim and Real Appeal).
- Continue sending out materials and reminders until the AHIP deadline[LS3].
ACEC Life/Health Trust will begin additional automated communications to help engage employees and spouses in remaining requirements. These will continue up until the AHIP deadline.[LS4]
If any participants come to you with questions/concerns/issues regarding their screening results, please refer them to the Customer Service line (844-724-5268) to ensure confidentiality.

- Customer Service. Please note: Ccredit for participation in Naturally Slim or Real Appeal will not appear on the web portal until the full 8 weeks of the program have been completed.
Promote Designed Advocate and Designed Telehealth programs during this time.[LS5]
Premium Differential Administration
90 days before next renewal date
Within a month after the AHIP requirement deadline, you will receive a report that verifies who has successfully completed the requirements and who has not (compliant and non-compliant).
- Please review the report and reach out to ACEC Life/Health Trust if you have questions.
Update your payroll or benefits system to reflect a premium differential for those that who are compliant and those that who are not.
- We recommend a difference of premiumpremium differential of $80 per person per month ($50 per person per month minimum).[LS6]
Premium differential must be administered for at least 6 months, but can be effective for longer if your firms prefers. S
- Set a reminder for 6 months later to remove the premium differential.
Promote Available Designed Wellness Incentive
Review Ccommunications web page for available materials to promote the $200 Designed Wellness incentive.
- Participants have until the end of the program year to earn the incentive.
Review the report that ACEC Life/Health Trust will provide you to verify the employees and spouses that who have earned the incentive.
Confirm with ACEC Life/Health Trust if you wish to receive payment via ACH or check.
Distribute incentive to the employees and spouses that who earned it. Your firm has the flexibility to decide the manner in which you distribute the incentive.
