Facility Rental Application for Service Unit Camporees


Lottery Instructions:

Twice yearly, GSEP holds a lottery to determine the upcoming Fall/Spring Service Unit camporee schedule for our properties. SU’s are permitted to apply for camporees every two years, and completed applications with the $500 deposit (by check) can be dropped off at any GSEP Service Center or mailed to: P.O. Box 814 Valley Forge, PA 19482. Remaining payment will be due 6 weeks prior to the event date. Any camporee application not completed in full or received without appropriate deposit payment will not be included in the lottery. Reservations will not be accepted by phone.

Applications are randomly drawn for camping reservations approximately 9 months in advance. The lottery is done in September for camporee requests for the upcoming Spring, and in January for the upcoming Fall. Every effort will be given to provide first choice placement for SU reservation applications. Please provide alternate dates and properties to extend your selection. All SU’s will be notified regarding their application status at the completion of the lottery. GSEP will work with SU’s to determine units needed to meet the capacity noted in the application. The number of participants for a SU camporee is required for the reservation. GSEP will only reserve sites/units to cover the SU max capacity on the application form. Unused units will be made available for troop camping.

PLEASE NOTE: It is GSEP's policy to re-deposit checks returned for non-sufficient funds (NSF) automatically and without notice. A $10 processing fee may be charged for NSF checks and closed accounts. When a check is returned by the bank twice, GSEP reserves the right to require payment by cash or certified funds.

SUBMIT WITHIN 4 WEEKS OF THE CAMPOREE. Please list names of all adults accompanying the group on a separate sheet.

This list must match the roster of adults brought to camp at time of entry.

CAMP CHOICES: Please request camp sites suited to the size of your group. Sites will be assigned based on projected number of attendees; unusued sites will be made available for troop camping. For more details on individual sites and capacity, see the campsite charts in the Facilities Guide and/or attached to this form.

Service Units are required to clean all rental areas according to the check out procedures. If sites are not properly cleaned, a fine of up to $500 will be charged.

1. All members of groups must be currently registered. Adults must be current members and have completed the GSEP Volunteer Background Clearance Process

2. All groups must be accompanied by an outdoor trained adult and a person who has completed the SU Camping Training. For more information, please email .

3. All groups must be accompanied by an adult current in First Aid & CPR for adults and children.

All groups must be accompanied by a ServSafe certified adult if using the kitchen facilities.

Check-in 2PM-9PM; Check-out by 12PM (checking out later than 12PM will result in charges for an extra day).

WE WILL ARRIVE BY: CAR BUS (buses do not have access to units. Alert Ranger 1 week IN ADVANCE to make special arrangements for transporting gear, otherwise buses will unload in the parking lot, and troops must transport gear)

REMINDER: All camporees may be booked no more than 9 months in advance. Applications received with reservation dates that are more than 9 months in advance will be held for the lottery placement drawing. Cancellations must be received in writing 12 weeks prior to the reserved date.
