CONSTITUTION FOR THE UNIVERSITY OF GUELPH ROBOTIC TEAM

Article 1: Title

Clause 1:

This association shall be called "The University of Guelph Robotics Team", here in after called the "Team".

Article 2: Objectives of the Team

Clause 1:

The objectives of the Team are to develop and promote extracurricular activities in mechatronics and robotics to, the SOE, the University of Guelph as a whole, the community of the City of Guelph, and all other engineering or student related organizations that share the goals of the Team.

Clause 2:

The team will compete annually in a minimum of 1 robotics competition. The competition shall be approved by the faculty advisor and then taken to a team vote requiring a 2/3 majority agreement of all registered members of the team for the competition to be approved as a team project.

Article 3: Membership

Clause 1:

The Team shall be comprised of registered studentsat the University of Guelph.

Clause 2:

Only registered members of the Team shall be allowed to vote in meetings.

Clause 3:

A 2 month probation period shall be placed on all new team members. After this period the new member shall become a registered member of the Team.

Clause 4:

Membership may be revoked at anytime should a members actions be deemed inappropriate or reflect poorly on the team or university.

Article 4: Officers of the Team

Clause 1:

The officers of the Team shall consist of thefollowing positions:

Tier 1:

Captain

Mechanical Group Leader

Sensor and Implementation Group Leader

Programming Group Leader

Estimation and Sensing Group Leader

Tier 2:

Equipment and Funds Manager

Website Manager

EngSoc Representative

Secretary

Clause 2:

Tier 1 positions shall require an election to determine which members are to fill each position. Tier 2 positions shall be chosen from the remaining team members by the captain.

Clause 3:

Each officer will follow perform all duties of their position following UGRT Officer Responsibilities (Appendix I).

Article 5: Election of Officers

Clause 1:

Within the first 2 weeks of semester (F, W) anofficer election meeting shall be held to vote in all Tier 1 members. During this meeting a vote shall be taken to re-elect or change anyTier 1 officer of the team. A minimum of ¾ of registered Team members are required to be present at this meeting for the decisions to be official and of the member present a 2/3 majority must be obtained for the decision to be official.

Clause 2:

Should a vote be under the 2/3 majority a revote shall be taken. Should this also fail the faculty advisor shall appoint the member they see best fit for the officer position.

Article 6: Meetings

Clause 1: Regular meetings of the Team

Section 1 - Shall be held weekly.

Section 2 - Require two thirds of Team members for quorum.

Section 3 - Can only be held if quorum is present.

Section 4 - May be cancelled by a majority vote.

Article 7: Lab Access and Protocol

Clause 1:

All registered members of the team may be granted access to the robotics lab (Thrn 2399), provided that they fill out the lab access form within the first two weeks of the semester.Lab access is a privilege and can be taken away from any member by either the captain or faculty advisor should they deem a member(s) actions to be disrespectful or damaging to the lab

Clause 2:

No food or drink in the robotics lab.

Clause 3:

The robotics lab is to be respected and members are not to touch anything other than the property of the Team

Article 8:Safety

Clause 1:

All events run by the Team must follow Student Risk Management procedures at alltimes.

Clause 2:

At a minimum the Team must have a representative 1 officer who is SRM trained.

Clause 3:

SRM forms must be completed and submitted 2.5 weeks prior to the event date. The Team will submit these forms to EngSoc.

Article 8: Faculty Advisor

Clause 1:

At all times the Team shall have a faculty advisor.

Clause 2:

The faculty advisor will provide the Team with guidance and oversee that the actions of the Team reflect the objectives of the Team.

Clause 3:

Should the faculty advisor desireto overturn any vote or decision made by the team they must first state their reasoning to the team at the next Team meeting. The Team shall then vote requiring 5/6 of the team to be against this overturn for the decision to remain.

Article 9: Amendments to the Constitution

Clause 1:

The constitution of the Team may be amended by a 2/3 majority vote of registered Team members at any general meeting.

Appendix I: UGRT Officers Responsibilities

Senior Team Tier 1

Team Coordinator:

The duties of the Team Coordinator of the UGRT are as follows:

1. To be the official representative and spokesperson for the Team.

2. To ensure that all events run by the UGRT follow Risk Management

Guidelines and inform the Team of all SRM training times.

3. To act as a representative between the faculty advisor and the UGRT.

4. To keep all members of the Team up to date on Team activities.

5. To be knowledgeable of all rules of competition(s) the UGRT is participating in.

Mechanical Group Leader

The duties of the Mechanical Group Leader of the UGRT are as follows:

1. To plan, organize and execute all aspects of the competition robots mechanical design

2. To ensure that all deadlines are met for mechanical group projects.

3. To keep all members of the mechanical group up to date on Team and mechanical group activities

Sensor and Implementation Leader

The duties of the Sensor and Implementation Leader of the UGRT are as follows:

1. To plan, organize and execute all aspects of the competition robots sensor design and sensor implementation

2. To ensure that all deadlines are met for sensor and implementation group projects.

3. To keep all members of the sensor and implementation group up to date on Team and sensor and implementation group activities

Programming Group Leader

The duties of the Programming Group Leader of the UGRT are as follows:

1. To plan, organize and execute all aspects of the competition robots programming design

2. To ensure that all deadlines are met for the programming group projects.

3. To keep all members of programming group up to date on Team and programming group activities

Estimation and Sensing Group Leader

The duties of the Estimation and Sensing Group Leader of the UGRT are as follows:

1. To plan, organize and execute all aspects of the competition robots estimation and path planning design and sensor control

2. To ensure that all deadlines are met for the estimation and sensing group projects.

3. To keep all members of programming group up to date on Team and programming group activities

Tier 2:

Equipment and Funds Manager

The duties of the Equipment and Funds Organizer of the UGRT are as follows:

1. To ensure that all bills sanctioned by the UGRT are paid.

2. To agree to keep the financial accounting books in a satisfactory way that is in accordance with the standards set by the Team. The books must be available upon request by any UGRT member.

3. To agree to keep a running inventory of all equipment and parts purchased or rented by the Team. The inventory must be available upon request by any UGRT member.

EngSoc Representative

The duties of the EngSoc Representative of the UGRT are as follows:

1. To be the official representative of the UGRT to EngSoc

2. The EngSoc Rep will submit a Student Organization Policy (SOP) form to the Engineering Society attheir first meeting and present the Club constitution, semester budget, and theprevious year’s budget at this time.

Website Manager

The duties of the Website Manager of the UGRT are as follows:

1. To maintain the websites appearance and overall quality

2. To update the website with team activities sponsors, etc

3. To take photos and other documentation to add to the website

Secretary

The duties of the Secretary of the UGRT are as follows:

1. To keep meeting minutes at all team meetings and to publish these minutes to the team within 2 days.

2. To update the constitution should amendments be needed.

3. To keep the Teams information organized and backed-up.
