JOB ANNOUNCEMENT
TITLE:Bilingual Administrative Assistant (Spanish/English)
DEPARTMENT:Administrative Services
JOB SUMMARY:This is a professional position, responsible for providing general administrative services
SPECIFIC DUTIES:
- Provide office reception and route visitors and callers to appropriate staff members
- Schedule appointments and coordinate logistics for agency visitors
- Answer phones on a multi-line system
- Sort and distribute incoming mail, process outgoing mail, and bulk mailings
- Process fee for service payments and record cash and checks on daily log
- Maintain agency telephones, voice mail system, copiers, printers, and fax machines
- Coordinate building and grounds maintenance needs
- Provide support to other departments as needed
- Assist with coordination and organizing of agency events
- Other related duties as assigned
QUALIFICATIONS:
Education:Related educational background or training in office/clerical/secretarial skills.
High school diploma or equivalent.
Skills:Bilingual English/Spanish
Demonstrated ability to work independently, under tight deadlines, in a responsible and reliable manner
Must be flexible and able to function efficiently with constant interruptions and distractions
Excellent oral and written English skills and demonstrated ability to communicate well with a broad range of individuals including donors, trustees, volunteers, and others
Maintain a high degree of confidentiality
Maintain professional relationships with staff, participants, donors, Board members, and others
Ability to work with and be sensitive to people of varying backgrounds, abilities, and cultures
Excellent organizational skills and a demonstrated ability to pay attention to detail, multi-task, respond quickly to critical situations, and make good decisions
Able to manage long and short term projects
Experience:Three years experience in a busy office environment
REPORTS TO:Director of Finance and Administration
COMPENSATION
AND BENEFITS:$32,244 - $34,020 (40 Hours/Week, Non-Exempt). Schedule 11 a.m. – 8 p.m. Monday – Thursday and 8 a.m. – 5 p.m. Friday. Benefits include: medical, dental, life and long-term disability insurance, pension, paid holidays, sick leave, and vacation.
