TITLE OF JOB: SCHOOL ADMINISTRATOR – SIMS
GRADE: H3 (NJC pay scales pro rata)
HOURS: 20 hours
Term time only + 2 weeks (Inset + one week during holiday)
1. JOB OUTLINE
1 a) REASON JOB EXISTS
To provide routine clerical, administrative and financial support to the school. At all times to work to raise the public image of the school and provide a welcoming, courteous reception to all school visitors.
1 b) MAIN AREAS OF RESPONSIBLITY
· Contribute to the overall ethos/work/aims of the school.
· Undertake reception duties including telephone, school office email, personal enquiries, deliveries, welcoming visitors, refreshments.
· Assist with pupil welfare matters, including administering medication, contacting parents and staff.
· Provide clerical support including typing, word processing, post, photocopying, filing and email.
· Maintain manual and computerised records.
· Manage the school’s Single Central Record and safeguarding database.
· Manage the development and maintenance of the school’s pupil records and information systems on SIMS.
· Complete termly returns using SIMS to DfE and other agencies.
· Manage, maintain and collate pupil records including that for school meals.
· Support the PTA with email messages to parents, distributing flyers, collecting donations and liaising with committee members on functions and events.
· Be aware of and comply with policies and procedures relating to child protection, equal opportunities, health and safety, confidentiality and data protection.
· To be flexible and work according to needs, which may involve assisting other areas which are commensurate with the grading of the post.

Be aware of and comply with policies and procedures relating to child protection; health and safety; confidentiality; and data protection and report all concerns to an appropriate person.
1 d) SAFEGUARDING
This post is classed as having a high degree of contact with children or vulnerable adults and is exempt from the Rehabilitation of Offenders Act 1974. An enhanced disclosure will be sought through the Disclosure and Barring Scheme (DBS formerly CRB) as part of the school’s pre-employment checks.
1 f) ADDITIONAL INFORMATION
The jobholder is required to contribute to and support the overall aims and ethos of the school. All staff are required to participate in training and other learning activities, and in performance management and development as required by the schools’ policies and practices.

2. SUPERVISION
The jobholder is managed by the Headteacher.
3. JOB CONTEXT
The jobholder is part of the administrative team who provide a range of reception, administrative and support services to the school.
The work is varied and has daily, monthly and termly routines.
4. CONTACTS
The jobholder works with all members of staff in the school and has frequent contact with parents and visitors.
5. KNOWLEDGE, EXPERIENCE AND TRAINING
· Experience of clerical and administrative work.
· Good numeracy and literacy skills.
· Basic knowledge of first aid. (training provided)
· A high level of computer literacy in standard office software programmes
· Excellent IT skills including the ability to work with databases
(working knowledge of SIMS is essential)
· Ability to work in a team.
· Understanding of the needs of children.
· A good sense of humour.
· A flexible and adaptable approach to working in a busy and often changeable office environment.
6. PROBLEMS AND DECISIONS
The jobholder exercises discretion in filtering letters and phone calls for the Headteacher (and other staff) whilst ensuring that all enquiries are dealt with expeditiously.
7. DIMENSIONS
On occasion, the job requires the recording and banking of small sums of money collected from pupils and staff.
