GRANT COORDINATOR

DEFINITION:

Under the general supervision of [administrator specific to grant], coordinate the implementation of [title and dates of grant]. The incumbent is responsible for coordinating the activities that support achievement of grant objectives as described in the grant proposal. S/he is responsible for ensuring regulatory compliance and for the management of the project budget. The incumbent works collaboratively with administrators and staff in the business office and grants office to support effective project management.

CLASS CHARACTERISTICS:

This is a classified position. An incumbent in this position performs professional duties and is expected to make decisions concerning appropriate policies and procedures. The incumbent will be self-directed and will have frequent interaction with faculty, support staff, and administration.

ESSENTIAL JOB FUNCTIONS:

  1. Plans, organizes and coordinates implementation of the activities, services and operations of the grant project, including oversight of personnel and resources.
  2. Implements project objectives according to the timeline established in the approved grant award.
  3. Oversees and monitors grant project deliverables.
  4. Manages grant budget and monitors expenses for compliance.
  5. Collaborates with administrators and staff as necessary to manage budget and implement objectives of grant.
  6. Establishes and maintainsaccurate, timely, and completes recordkeeping processes, ensuring that grant reporting requirements and restrictions are observed.
  7. Communicates an informed understanding of the objectives and outcomes of the program to grant staff, administrators, other college personnel, and the grant program officer.
  8. Attends meetings required by funding sourcethat may include out-of-state travel;
  9. In conjunction with the business and grants offices, coordinate, compile data, and prepare written grant reports.
  10. Works with an outside evaluator to implement the evaluation plan, data collection instruments, and participate in evaluation activities.
  11. If required by the grant, assists in establishing an advisory committee; serves as a member of the committee, coordinates meetings, sets agendas, and maintains meeting records.
  12. Collaborates with public affairs and publications to develop public relations materials and media information for distribution.

MINIMUM QUALIFICATIONS:

Knowledge of:

Coordinating and implementing programs in an educational setting;

Project management, budget procedures and financial recordkeeping;

Grant management and reporting preferred;

Demonstrated ability to:

Communicate orally, written and interpersonal skills;

Knowledge and ability to use a computer and typical office software;

Excellent organizational skills;

Work collegially with staff.

Education and Experience:

A bachelor’s degree or equivalent in an area related to the objectives of the project.

Working Conditions:

Duties are primarily performed in an office environment, at a desk or at a computer terminal.

The incumbent will experience interruptions while performing normal duties during the
regular workday.

The incumbent will have contact, in person or on the telephone, with executive, management, supervisory, academic and classified staff and the general public.

Physical Demands:

Typically may sit for extended periods of time.

Operates a computer keyboard

Communicates over the telephone and in person.

Regularly lifts, carries and/or moves objects weighing up to 10 pounds.

Special Qualification:

Evidence of a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.
