JOB DESCRIPTION
PROJECT OFFICER/RECEPTIONIST (2 Posts)
SALARY: £14,000 a year
HOURS: 37.5 hours a week (shift working)
RESPONSIBLE TO: Contract Services Manager
RESPONSIBLE FOR:The smooth running of the project and supporting both clients and workers.
LIAISON WITH:All staff, visitors and Service Users.
PRINCIPAL AIMS:To provide a friendly, helpful, safe and informative reception service, to staff and service users and provide basic administrative support for the project as required.
EDUCATION:Educated to “O” level/GCSE standard or equivalent life skill experience.
EXPERIENCE:1. Minimum one year experience of working in a similar environment on reception with experience of this service user group. (Rough sleeping, alcohol & drug addiction).
2. Good administrative and organisational skills.
DUTIES:
- To welcome, in a friendly and professional manner, all visitors, volunteers, new and existing service users, and make every effort to provide efficient and effective assistance.
- To interact with all service users in a flexible and sensitive manner, and with due regard for individual need.
- To implement procedures, paying particular attention to registers of service users as they come into and leave the premises.
- To assist with the preparation of a lunchtime meal.
- To implement the basic rules with regard to alcohol, drugs and anti-social behaviour.
- To be responsible for the safety of all volunteers and visitors, as they relate to the activities of the hostel.
- To take charge of the main entrance to the hostel, and to monitor all other areas.
- To inform the appropriate staff of any problems, and to use initiative in dealing with any difficulties that may arise, with or without the assistance of the police.
- To check all areas for safety to ensure that for example, drug use and/or drug exchange is not becoming a practice.
- To share information and observations about service users at staff meetings.
- To undertake administrative duties as requested by the staff team.
- To undertake the cleaning of communal areas.
- To assist the service user group at all times, by answering their queries and offering support.
- To contact the appropriate persons in the event of deliveries of goods, and to authorise the acceptance of goods, if appropriate to do so.
- To liaise with the Contract Services Manager and the Facilities Manager of PRHA with regard to defects around the building, as required, ensuring the project is kept in good order.
- In conjunction with the management of the project, to implement all Health, Safety and Hygiene Regulations.
- To liaise with all external on-site maintenance, as and when required.
- To attend and participate in formal handovers, meetings and training sessions as required.
- To implement the Trust's policies and procedures, paying particular regard to those on Confidentiality, Equal Opportunities and Protection of Vulnerable Adults.
- To provide reception cover.
- All staff must accept fully, Spitalfields Crypt Trust’s Code of Conduct and work within the policies of the Trust
- Any other duties that are requested by the line manager.
