/ Medical Receptionist / Admin Assistant

Salary Scale

/ £ (pro rata – depending on experience)

Hours

/ 14 hours To be worked Wed, Thur and Fri till 6pm each day

Reports to

/ Fiona Jackson, Practice Manager

Main purpose of the Post

/
  • To provide a professional administrative and clerical, reception service to patients, doctors, staff, health service professionals and others
  • To work effectively in often complex and unpredictable situations
  • To understand and contribute fully to the functioning of both the reception team and the wider Practice team
  • To use own judgement, resourcefulness, common sense and local knowledge within defined parameters to respond to patients’ enquiries, particularly in assessing degree of urgency

Accountability / The post holder is ultimately accountable to the partners. However it is expected that the post holder will take decisions to ensure the smooth running of the reception service in accordance with Practice protocols
The post holder will be part of a small team but will often be required to work alone
Administrative and Clerical Tasks / Providing excellent administrative skills incorporating good keyboard skills working closely with the Practice Manager.
Respond to all queries and requests for assistance in an efficient and courteous manner, answering general enquiries and explaining Practice procedures
Ensure patient records are accurate, up-to-date and made available to clinicians as needed.
Ensure that appropriate correspondence, reports, results etc are recorded, actioned and stored in accordance with Practice protocols and the Data Protection Act 1998.
Respond to requests for access to medical records, reports etc in accordance with the Access to Health Records Act 1990 and the Access to Medical Records Act 1988.
Communications / Ensure all information both incoming and outgoing is actioned appropriately and timeously. Use judgement to interpret and assess the relative urgency of each request.
Communicate with people at all levels in a polite and constructive manner, with proper regard to confidentiality.
Make appropriate use of the available channels of communication, e.g. telephone, fax, e-mail, face to face, written.
Know under which circumstances clinical and non-clinical advice should be sought.
Assess the risk associated with any unusual situation and seek guidance where appropriate.
Information Technology / Follow a variety of clinical administrative processes through to completion, for example, repeat prescription systems and audit projects.
Be aware of computer protocols and use of passwords.
Input patient data to, and access patient data from, the computerised patient database in accordance with Practice protocols.
Team Work / Act as a useful member of the Primary Health Care Team.
Provide peer support and help as appropriate to ensure the efficient discharge of all duties.
Have a responsible and flexible approach.
Participate actively in training, meetings, other personal development and any Practice initiatives.
Security / Undertake all routine security duties, in accordance with Practice protocols. Respond to any unexpected situation in an appropriate manner.
Be responsible for opening up and shutting down computers within Reception area and operating the telephone answering service in accordance with Practice Protocols.
Carry out duties in accordance with the Practice’s health and safety policy.
