1.Welcome and Introductions
1.1 President’s remarks
- Thanks for hard work. Last year zone had some incredible accomplishments … congrats. Last year was also one of the zone's biggest years for hosting provincials, thank you to all who stepped up.

4.Minutes of the Spring Meeting

5.Business arising from the minutes
5.1 Updated sports policies in the constitution
- Please, if you are a commissioner, take a close look and update policy
- some of our sports are out of date and not aligning with ASAA or new motions. October is the mtg for updating NEASAA policies. Please have them updated by October next year. If you have anything that is vital for prior to October bring those updates to the May meeting.
- Also, could individuals please look at the consititution and let us know if you notice any changes that need to be made.
5.2 New Zone Volleyball Officials Coordinator
- Marc Cheriyan from Lloydminster Comp. New ZOC for volleyball spoke to the group (contact info: )
- difficulty in finding officials. Marc is willing to come to schools and offer clinics.
- payment – be sure to get your payments to them in a timely manner.
- discussed the idea of a district assigner
- cost? $17/match + travel costs (depending on best of 2, 3, 5)…. before 6:00 on a weekday you have to pay a premium in addition to regular match fees ($20/match on top of $17/match) – can we get a copy of how much things actually cost from Marc. Marc will forward.
- when you book tournaments how much do you look at what else is booked that weekend? Can we work towards not having 5 zone tournaments the same weekend? Hopefully using our website we can work as a zone towards spreading the love.
5.3 Home School Athletes
- regarding curling situation last year. Exec will seek further clarification from ASAA in regards to this.
- for this year … how do we decide which district? Keep in District 2 for this year before we introduce policy to iron this out.

8.Financial Report
- When hosting please get money and bills in ASAP
- no fee changes needed for zones
- shared what is covered and is not covered in the fees.
- please make sure cheques are payable to NEASAA not Daryl
- fees are due at time of competition … late fine is equivalent of entry fee.
- Balance about $15,700
- We have insurance … we are a society so you are not liable individual if anything happens at one of our events (so we pay a fee every year for this). So when you see cost for lawyer fees it is to get this all organized and processed so our society standing is maintained.

- event went well
- some complaints – triple jump lines wren't marked correctly, weather sucked, discussion on rain and what to do when official stops event
- most people were on the road by 5 so went smoothly in that way
- thank to St paul for helping out with eagle eye
- dicrepency with officials on rules on false starts … cleared up with ASAA rules
- Discussion on having a district rep over a school rep for the end of day meeting or to look at half the advancers halfway through the day so there is less to look at the end of day (shorten the meeting). Something to discuss in May.

11.Upcoming Events
11.1 Cross-country Running
- @ Ross Lake Provincial Park
- About 300 kids registered
- Trails are a nice bushy area that are cleared out-dated
- Marshals along the course, also will have some bikers to lead each race and Park people with a kobota to follow in case of injury
- If you have kids with asthma maybe ensure they have their inhaler with themselves
- large grassy area to stay at during races finish and start are around there
- please use garbage and recycling to help.
- Parking – there is a loop when you come in, go around the loop and there will be signs for where to park.
- First Aid trailer … use it if you need.
- Will be a concession
- Spikes? Yes it is all dirt and a little sand trail
- Walk through 9:30 Start 10:00
11.2 Volleyball
- ASAA new rules (uniform rules – not in effect this year but are for next year!)
- clarify SOP:
- starts in June but can only practice when school is IN session. Practices in late august before school gets back in session is illegal and can put your team in risk of being sanctioned
- kids playing on two teams during a season: eg adult volleyball league … students cannot play on these teams during the season of play. Again can lose you eligibility for provs.
