The Manager, Special Events will have the unique opportunity to collaborate with alumni, leadership volunteers and senior staff to influence the implementation of fundraising events and activities, and achieve revenue goals. Casey House is looking for a Special Events professional who will use their exceptional skills, vision, passion and leadership to elevate our signature events to even greater heights.
About Casey House
Founded in 1988, Casey House is the first free-standing HIV/AIDS hospice in Canada. A unique, compassionate model of care has been evolving since that time, allowing Casey House, a specialty hospital with community programming, to deliver on its mission to “provide excellent, compassionate, inter-professional health services to people living with HIV/AIDS who have evolving complex health issues. We contribute our unique experience to a broader system of HIV/AIDS care, education and research.”
Casey House Foundation raises funds to support Casey House’s Community Program which offers a range of services in support of the diverse needs of people living with HIV/AIDS in the community who require our specialized care. The Community Program relies almost entirely on funding donated by individuals, corporations and foundations.
In 2017, Casey House will launch a new model of care when it moves into a new purpose-built hospital which it is constructing at the southeast corner of Jarvis and Isabella streets in Toronto.
Position Summary:
The Manager, Special Events is directly responsible for strategically planning and executing successful fundraising and donor stewardship events in support of Casey House. Key activities include: producing and executing events that achieve revenue goals within approved expense budgets; tracking event budgets; formal evaluation of activities; development of collateral and marketing materials; and performance measurement of Casey House’s events as outlined in the Casey House Foundation’s annual business plan.

Responsibilities
Event Management:
· Create and develop written plans, budgets and performance measurement indicators for events
· Achieve revenue goals within approved expense budgets
· Manage and oversee the execution of all aspects of Casey House’s fundraising and donor stewardship events, including:
o Working with selected contractors for the design of collateral and marketing materials and managing the production of these materials
o Developing and executing marketing strategies
o Overseeing the confirmation, coordination, collection, valuation, documentation and financial reconciliation of all Art with Heart art while liaising with all galleries and artists
o Developing menu and all applicable price and logistical negotiations with caterers
o Arranging for wine and other refreshments for events, including securing gifts-in-kind whenever possible
o Overseeing and monitoring ticket/table sales while developing and executing proactive plans to address potential shortfalls
o Overseeing the mailing of invitations
o Securing and liaising with event entertainment as necessary
o Securing all necessary event permits and licences
o Developing event budgets, monitoring revenues and expenses, providing final revenue reconciliations in conjunction with the Finance Department within 60 days of the close of each event
o Collaborating with Foundation staff to identify opportunities for corporate sponsorship
o Creating and distributing all post event acknowledgement and donor/sponsor outcome packages and letters
o Creating formal written reports for each event, detailing successes, challenges and recommendations for following years
o Keeping accurate and up-to-date electronic and hard copy records related to each event
· Execute other duties as assigned
Volunteer Coordination:
· Manage event committee volunteers by preparing meeting agendas, materials, meeting notes and coordinating all event committee meetings
· Liaise with Supervisor of Volunteers to support the recruitment of event volunteers
Corporate Responsibilities:
· Foster positive interpersonal relations with Board of Directors, donors, sponsors, event attendees, volunteers, staff and the community
· Deliver a donor and customer service focused approach to delivery that is both professional and consistent with Casey House mission and values statements
· Proactively embrace innovation through ongoing process improvements and recommendations
· Actively support and promote Casey House operations and team approaches
Qualifications:
· Undergraduate degree or its equivalent in relevant training and experience
· Minimum of 5 years experience in special event planning, direct experience in a not-for-profit environment preferred
· Proven success in executing complex and high profile fundraising events that meet goals
· Extensive budget management and supplier negotiation skills
· Demonstrated good judgment, flexibility and leadership skills
· Experience working with and supervising event volunteers, working with and supporting the efforts of senior volunteer committee members
· Excellent communication (verbal and written), interpersonal and organizational skills
· Excellent skills with MS Office including Excel and Outlook
· Experience with Raiser’s Edge an asset
· Membership in AFP preferred
· Certified Fund Raising Executive designation an asset
· A valid drivers licence and access to a vehicle preferred
· Ability to work flexible hours, including evenings and weekends
