BIBC Grievance procedure 2013

  1. Purpose of the BIBC grievance procedure/Introduction

Bexley~heath Improvers club’s (BIBC)aim is to encourage improvement in the conduct of club members. This procedure sets out the action which will be taken when the club rules are broken and provides a fair, effective and consistent method of dealing with disciplinary matters.

  1. Principles
  • Members are expected to know the standard of conduct expected of them and refer to BIBC' Code of Conduct where necessary.
  • BIBC members will be provided with details of the allegations and any evidence in support of this prior to the meeting and they will be given the opportunity to state their case
  • A club member is entitled to be accompanied by an independent representative at the meeting
  • No club member will be dismissed for a first breach of discipline, except in cases of gross misconduct
  • Club members have the right to appeal against any disciplinary action taken. Appeals should be submitted to the Club Secretary.
  1. Informal discussions and/or formal proceedings

Before taking formal disciplinary action, theBIBC Coordinator will make every effort to resolve the matter by informal discussion. Only where this fails to bring about the desired improvement should the formal disciplinary procedure be implemented. Members should right to the Club Secretary and a meeting will be convened as soon as is practicable and pending any pre investigation work. The panel will consist of at least three committee members.

  1. First or formal verbal warning

If conduct is found to be unsatisfactory, the club member will be given a written warning. Such warnings will be recorded but disregarded after three months of satisfactory service, providing there have been no subsequent disciplinary issues.

  1. Written warning

If the conduct is regarded as more serious or considered unsatisfactory after they have received a formal verbal warning, a disciplinary meeting may be called.

After a period of sixmonths, if no further disciplinary action has been found necessary and the minor breach has been resolved, the warning will expire.

  1. Final written warning

If the member’s conduct fails to improve or where the allegation is particularly serious, the nominated investigationg officer will follow the same procedure for a written warning. If proven, a final warning will be given to the member warning that any further misconduct will result in a dismissal with appropriate notice.

After a period of 12 months, if no further disciplinary action has been found necessary and the issue has been resolved, the warning will expire.

  1. Gross misconduct

A club member can be dismissed without notice on grounds of gross misconduct. The member will be suspended while the circumstances of the alleged incident are investigated.

BIBC's Codes of Conduct will be referred to when deciding what constitutes gross misconduct.

A dismissal must be confirmed in writing 10working days of the date of the disciplinary interview.

  1. The right to appeal

If the club member wishes to appeal against any disciplinary decision, they must appeal, in writing to the BIBC Secretary, within seven days of being notified of the decision.
