Who needs a work permit?
Read theScope of Contractors workto check whether the work you are undertaking requires a work permit
Permits will only be issued if an application form has been completed and sent to 24 hours before the permit is required*
How to request a work permit
- Agree the scope of work with the Responsible Person (University contact).
- Complete theInduction. (Induction must be completed byeach contractor and theEmployment of Contractors and Sub Contractorspolicymust be completed by the contracting company)
- Complete the Contractors Permit to work application, send the application form together with any supporting documents to 24 hours before the permit is required*
What will happen next?
If you have completed all sections of the permit application and thesupporting documents are accepted,the permit will be issued within 24 hours*
(*excluding weekends and bank holidays)
Once the permit is issued, you will receive an email with the permit number and collection arrangements.
The ‘Responsible Person’ (the KU person named requesting the work) will be sent a confirmation email when the permit has been issued.
Reasons why a contractor may be asked to leave or a permit cancelled
1.Incorrect details on the permit i.e. location / date
2.Incorrect names of workers, ID may be asked for.
3.Unsafe working environment
4.Unsafe work equipment
5.Not working to safe system of work agreed on permit
6.Not having a permit
7.Any breach of health and safety legislation or University policy
8.Inappropriate or unsafe behavior
9.The Responsible Person does not approve the work.
When and how can permits be collected?
Collecting permits
Permits can be collected from:
The permit office (Services Building Penryhn Road) 7.30am -10am or by appointment at any other times.
Roehampton Vale reception 8am -5pm
Kingston Hill reception (Kenry House) 8am -5pm
The permit must be displayed in the work place where possible or held by the contractor. If a contractor cannot provide a valid permit on request work will be stopped.
Returning Permits
All permits must be returned on expiry with the hand back section completed and signed
Signed permits can be returned:
Electronically at Kenry House reception, Roehampton Vale reception or the Penryhn Road Permit Office
By email to
To the post box outside the Services Building, Kingston University, Penryhn Road, Kingston Upon Thames Surrey KT1 2EE
By Internal post at any University reception.
Unreturned permitsAll permits must be returned to close the job.
If the permit is not returned an email will be sent to the contractor requesting its return. If the permit is not returned within 24 hours of the permit expiry (48 hours for weekend permits) it will be recorded as unreturned.
New permits will not be issued until expired permits have been signed back and returned.
