MONTOUR FIELD TRIP REQUEST

Instructions

Below is a quick guide to entering a trip request, more detailed instructions follow.

SUMMARY OF HOW TO ENTER A NEW FIELD TRIP REQUEST:

Go to the following site:

Log on using your username and password

Select Enter New Request(goes to next screen)

Select Group Name from drop down box

Select Department from drop down box, Account No. will fill in automatically, Leave Share % blank

Click on Add Group (goes to next screen)

Enter your contact information Contact Name and Phone Number

Click on Next (goes to next screen)

Start typing the first few letters of your school (where trip originates) in Location Name box

Click on Search Now

Click on the Location Number (goes to next screen)

Start typing the first few letters of where your field trip is going in Location Name box

Click on Search Now

If you cannot find where you are going in the list, click on Locations right below the search box

Click on New Location – enter information – Save

On Enter Trip Type click on what applies (Round trip with wait time, Multi destination, etc)

Enter depart and return date and times

Click on Next

Enter number of Special Needs, number of Students, number of Adults, number of wheelchairs, number of Buses

Click on Next

Enter any Comments or Instructions you want to add to the request

Click on Save request or Submit request

** After you Save or Submit a request, the system assigns it a unique ID number. You may want to note that number to make it easier to track the status of the request later.

HOW TO REQUEST A TRIP:

After you log on, select “Enter New Request” from the next screen. That will take you to the screen shown below.

Click on the drop down box for GROUP NAME. The following choices will appear; click on your school:

Montour High School
Upper Middle School
5th grade
6th grade
Forest Grove
Burkett
Holy Trinity
St. Malachy
Robinson Township Christian School

Click on the drop down box for DEPARTMENT. Click on the appropriate choice. For MHS and Upper Middle School there will be many departments (athletics and activities are included).

Account No. will fill in automatically, leave Share % blank. Click on ADD GROUP

On the next screen (below) enter your contact information CONTACT NAME and PHONE NUMBER

Click on NEXT

The next screen (below) is where the field trip originates from. Enter all or part of the name in the LOCATION NAME field.

The schools are listed as follows: Montour High School, Montour Upper Middle School, Montour 6th grade, Montour 5th grade, Forest Grove Elem., Burkett Elem., Holy Trinity, St. Malachy and Robinson Twp Christian.

When selecting a name from the list, click on the Loc ID number.

It will go to the next screen.

The next screen looks very similar to the screen before it. This is for entering the destination.

Start typing the first few letters of where your field trip is going in the LOCATION NAME box.

Click on SEARCH NOW. If you cannot find where you are going in the data list, click on LOCATION directly below the search box.

Click on NEW LOCATION – enter information – SAVE.

On the next screen (not shown here) ENTER TRIP TYPE, click on what applies (one way, round trip no wait time, round trip with wait time, drop off trip, multi destination trip). If you are going on a field trip for only a few hours, select round trip no wait time.

After you select trip type, enter dates and times in the following screen. If you select “round trip no wait time” only depart date/time and arrive date/time. Enter the DATE AND TIMEinformation for your field trip.

Click NEXT

On the next screen (below) enter the number of:

Special Needs – Does not mean Special Education, this is for students with special

transportation needs.

Students

Adults

Wheelchairs

Buses

Click on NEXT

On the last screen (not shown), enter any COMMENTS OR INSTRUCTIONS you want to add to the request.

Click on SAVE REQUEST or SUBMIT REQUEST
