Job Descriptions

I.  General Administrative
Administrative Clerk / Responsible for administrative tasks such as maintaining records and files, codes and enters data, able to use spreadsheets and similar software.
Administrative Secretary / Provides secretarial support for one or more professional, administrative and/or managerial employees. Type letters, memoranda and forms from rough notes or handwritten drafts. Maintains logs/records, calendars. Makes arrangements for travel, meetings, and conferences. Performs any other related assigned duties. Ability to prioritize and perform assigned duties independently. Types at 30-40 wpm minimum.
Clerical Aide (No typing) / Maintains records and files, codes and enter data; routes telephone calls; greets visitors; opens and distributes mail.
Clerk (Light typing) / Maintains records and files, codes and enters data; routes telephone calls; greets visitors; opens and distributes mail; types at 30-40 wpm minimum to produce routine documents.
Customer Service Representative / Respond to customer requests, inquiries and problems in person and on telephone, assisting with resolutions. Maintains existing customer data records adds new records, and archiving and deleting obsolete records within department computer system as directed. If assigned to Customer Call Center in Financed/Assessor's, respond to customer's incoming telephone calls. Ensure information and data provided to customer complies with City and State laws. Perform routine office tasks such as preparing correspondence, data entry, mail processing and filing.

Data Entry Operator / Under immediate supervision, performs work of routine difficulty in the keying and verifying of information. Data may include budgetary, accounting, or statistical information.
General Office Clerk / Performs basic administrative tasks with minimal guidance, including data entry, copying and faxing. Serves as first point-of-contact for assigned program. Maintains a variety of records, such as inventories of supplies and materials. Produces documents related to assigned office/program area. May be required to establish and maintain filing systems. Receives and directs phone calls and handles mail and light correspondence.
General Office Worker / Assist with general offices duties to include filling, processing mail (picking up & delivering mail, sorting mail, emptying mail drop boxes) operating cash registers (no cash, mailed payments only), operating remittance processor, data entry and retrieval into departmental mainframe systems and other light office duties as assigned.
Office Specialist I / Posts items to accounts, prepares vouchers. Maintains files, distributes reports, performs simple data entry into internal agency system. Inventories, receives, and shelves routine supplies. Reviews invoices/packing slips to ensure shipment is correct. Schedules rooms for meetings/conferences. Produces and/or hand distributes simple documents (e.g. flyers). Performs routine, simple filing and non-critical copying. Collates documents and distributes mail. Refers calls, greets visitors, and gives standard information in response to phone or in-person inquiries. Performs simple data entry into single screen. Files non-critical records, photocopies non-critical items.
Office Specialist II / Prepares a variety of standard forms (e.g., work orders, petty cash) for routing and approval. Compiles and maintains daily and weekly reports. Performs reconciliations. Establishes, revises and maintains documents and files. Performs data entry into corporate system, e.g., routine posting and billing, T&A’s, etc. Reviews completed forms for accuracy and completeness. May perform inquiries in internal and external databases to determine discrepancies. Performs basic calculations. Tracks expenditures. Files critical records. Notifies all participants of meetings and other functions in advance.
Paralegal (Litigation) / Candidate must be able to conduct legal research using Lexis Nexis review (or equivalent software package) and summarize discovery proceedings to include medical and case records, schedule depositions, draft routine and specialized documents from notes, oral instruction, pleadings. Be familiar with legal terms such as notice of intent, pleadings, motions, orders and briefs and know the difference between each. Must be able to use Microsoft Professional Suite and is computer literate. Types 30 -60 wpm minimum.
Paralegal (Litigation/ Bankruptcy) / Candidate must be able to conduct legal research using Lexis Nexis (or equivalent software package), review and summarize discovery proceedings to include medical and case records, schedule depositions, draft routine and specialized documents from notes, oral instruction, pleadings. Must have experience in bankruptcy. Be familiar with legal terms such as notice of intent, pleadings, motions, orders and briefs and know the difference between each. Must be able to use Microsoft Professional Suite and is computer literate. Types 30 -60 wpm minimum.
Paralegal (Real Estate/ Tax Delinquent) / Candidate must be able to conduct legal research using Lexis Nexis (or equivalent software package) and must be able to use Microsoft Professional Suite and is computer literate. Candidate must have a real estate background to include ability to do title searches, property investigations, and discovery. Be familiar with legal documents, motions, court dockets, and other related legal terms. Draft routine and specialized documents, meet with clients, and organize materials for hearings, etc. Must be organized and able to work independently. Types 30 -60 wpm minimum.
Senior Legal Secretary / Candidate provides administrative support to attorneys. Performs routine and specialized administrative functions such as legal correspondence, reports, and court dockets. Prepares sorts and prioritizes mail, events, and messages. Establishes and maintains specialized files according to prescribed methods. Assist with other clerical assignments of other staff members. Must be experienced in using Microsoft Professional Suite to include Word and Excel. Types 30 -60 wpm minimum.
Telephone Representative / Assists with answering calls from taxpayers on various questions related to personal property and real estate. Access various Finance Department systems to give accurate and timely information and maintain pleasant tone and give good customer service. Complete SME (Subject Matter Expert) referral sheets to be worked by full-time Finance staff.
II.  Accounting/ Financial
Accounting Specialist / Exhibits knowledge of General Accounting Systems with supervision from an Accountant. Assist with accounting and is familiar with tax filings.
Accounting Technician / Experienced in journal entry and ledger posting, accounts receivable and accounts payable, bank reconciliation’s figure aperture. Operates adding machine and calculator. Experience with automated financial systems.
Teller / Cashier Role-Under immediate supervision; performs work of routine difficulty in the receipt and application of payments for a variety of City services such as gas, water, property taxes, decals, and licenses. Follows office procedure in accepting and processing payments. Has direct contact with customers either on phone or in person. Essential tasks include:
·  Takes cash, check, credit card and direct deposit payments from external (citizens) and internal (employees) customers, issues cash register receipts and reconcile cash drawer.
·  Verifies account numbers, account balances, decals and pet licenses
·  Open mail and prepare for remittance processing and operate high-speed remittance processor.

III.  Construction/ Facility Management
Air Conditioning, Refrigeration & Heating Mechanic / Cleans and performs preventive maintenance on HVAC and refrigeration equipment. Performs scheduled inspections of HVAC and refrigeration equipment. Troubleshoots and repairs HVAC and refrigeration equipment as necessary. Installs and replaces new HVAC and refrigeration equipment. Responds to environmental comfort calls (i.e., too hot, too cold). Prepares and completes work orders. Position requires at least two-years of applicable experience. Preference is given to individuals who maintain a CFC certification from the Environmental Protection Agency.
Automotive Mechanic II / Performs inspection on vehicles and equipment; documents discrepancies. Makes repairs on vehicles parts such as engines, alternators, carburetors, batteries, tires, brakes, pumps, transmissions, gas tanks, headlights, wipers, fuel systems, suspensions and other, as needed. Performs preventative maintenance on vehicles such as oil changes, filter changes and lubrication; Makes service calls and repairs vehicles/equipment in the field. Consults technical reference documentation such as a manufacturer’s manuals and parts manuals for technical information necessary for repairs. Prepares history files, maintains work logs and maintenance sheets. Conducts state inspections and preventative maintenance inspections.
Construction Helper / Performs a variety of simple duties that may require heavy lifting. Cleans up around work areas. Moves construction supplies and/or equipment.
Crew Leader (Custodian) / Provides daily supervision in the area of housekeeping. Manual labor intensive. Assigns work and ensures its completion. Performs a variety of tasks in supervising and performing the required services. Ensures operational and safety procedures are follow.
Custodian / Gathers and disposes of trash; cleans and prepares hard surfaces floors or carpets; washes walls, ceilings, windows, blinds, and other building areas; cleans, dusts, and polishes fixtures blinds, and other building areas; climbs ladder and replaces light bulbs; moves furniture; checks and accounts for tools; reports progress orally or in writing to supervisor.
Electrician / Drives, stocks, and operates service and bucket trucks. Uses safety equipment and follows established safety procedures for working with high and low voltage. Maintains, tests, and troubleshoots emergency generators, motors, HVAC, and lighting equipment. Locates and prices materials needed for job. Locates and replaces fuses and circuit breakers as necessary. Reads, prints, and code books and calculates wattage, amperage, and ohms for purpose of making repairs. Coordinates with contractors and performs inspections of fire alarm and sprinkler equipment. Completes standard work order and reports. Position requires four-years of relevant work experience and a valid Journeyman’s card.
Equipment Operator II / Assists in the operation of asphalt pavers or chip spreaders; operates patch rollers and acts as a hot asphalt racer and tamper on a paving crew; drives trucks in the performance of regular duties and assists in loading; transporting, and unloading materials; operates refuse collections barrel truck and complaint trucks for special routes and bulk collections; cleans tools, equipment, machinery; excavates trenches and tunnels; unstops sewer and house connections cleans storm water basins and sewers lines; operates air powered tools; assists in pavement marking and traffic sign installation operations; operates brush chipper and stump cutter; operates loaders and various other types of farm tractor equipment, complex riding mowers, trenchers, and pavement sealing equipment; occasionally operates high level equipment or vehicles; performs manual work on assigned projects when not operating equipment; performs minor repairs minor repairs and maintenance on equipment; provides incidental direction to other workers as assigned.
Field Service Technician / The Field Service Team in DPU (Customer Service Division) utilizes Temporary Employees for the function of Delinquent Bill turnoff orders (gas and water) and miscellaneous orders of similar skill-set requirement. A viable candidate for this assignment would have the following background:
·  Successfully pass drug screening, physical examination to assure fitness for duty, and criminal background check
·  Acceptable driving record and ability to pass the required class to be granted a City drivers license (to enable the candidate to drive a City vehicle)
·  Reasonable mechanical aptitude and familiarity with plumbing-related hand tools
·  Ability to work outside in all weather conditions
·  Able to perform physically demanding tasks
·  Basic computer skills
·  Able to deal with the public and exercise professional customer service skills in stressful situations
Light Industrial / Duties may include but are not limited to shipping and receiving, warehousing, or technical ability, may require physical lifting up to 75 lbs. Ability to operate light machinery as required by requesting Agency.
Maintenance Worker I / Loads and unloads various materials, supplies, and equipment; cleans parks, sidewalks, and streets; digs and cleans ditches; loads and unloads refuse, sand, gravel, leaves, and building materials; rakes leaves and picks up litter; cleans floors; walls equipment, machinery, and structures; performs janitorial work; cuts weed and grass throughout the City using weed cutters and lawn mowers; trims shrubbery and maintains parks; cuts asphalt and concrete using air powered tools; places safety cones and barricades, flags traffic, and cleans up work sites; occasionally operates higher level equipment or vehicles; assists skilled trades personnel by performing support tasks.
Master Plumber / Completes applications for plumbing and gas work permits. Installs and tests plumbing fixtures and equipment for assigned area, including new buildings and facilities and/ or renovated buildings and facilities according to plumbing codes, regulations and/ or ordinances. Repairs, replaces, cleans and maintains plumbing fixtures and equipment for assigned area according to plumbing codes, regulations and/ or ordinances. Maintains swimming pools and/ or irrigation systems of assigned area according to plumbing codes, regulations and/ or ordinances. Assists electricians and other building personnel in troubleshooting and correction of facility problems. Position requires a Master Plumbers License.
Refuse Collector / Under general supervision; performs work of moderate difficulty in the collection and disposal of domestic garbage, refuse, and yard brush from super cans and regular cans into refuse trucks; and performs related work as required. Laborers must be prepared for outdoors work in seasonal weather conditions and wear safety shoes and work gloves. (About 40 needed for refuse collection). The City reserves the right to stop and/or cancel scheduled work due to weather conditions, equipment failures, personnel problems, etc.
Skilled Laborer / Performs a variety of manual work that does not require special skills or experience. Performs sustained work of a physical nature for extended periods of time. Performs work that may require heavy lifting in and outdoors. Loads and unloads trucks. Performs building maintenance duties. Assists in all types of repairs. Moves a variety of office furniture and equipment. Performs various and other repairs and/or building maintenance duties.
