New Employee Orientation – Technology
(Supervisor Checklist)
The following page(s) have been created to assist the supervisor (or department) of a new employee. A checklist has been created with the most common things to know, or consider, regarding the technology needs of a new employee.
New Employee’s Username and E-Number
- Do you know the new employee’s username and E-Number? This can be helpful if they have not logged into their account yet and need help.
- Users can look up their username and/or E-Number by using the links on the front-page of BuzzIn (
New Computer, Laptop, etc.
- Have you allocated a computer for them?
- IT can provide departments quotes for purchasing new computers (including laptops, Macs, etc.)
- If you are re-purposing a computer, it will need to come through IT to be reloaded for the new user.
- Computers that are new (or reloaded) will have a “Base Installation” of software. This includes (but is not limited to) software such as the operating system (Windows 7, Mac OS X, etc.), Microsoft Office (includes Outlook), anti-virus software, etc.
Have you purchased any additional software that they may require?
- IT can assist departments with acquiring quotes for software (not already provided by IT)
- IT can assist users/departments with installing software on their computer(s)
Have you allocated the necessary peripherals for them (printer, scanner, etc.)?
- IT can assist departments with gaining quotes for new printers, scanners, etc.
Has your DAC given them access to their necessary shared network drives?
- The Data Access Coordinator (DAC) for each employee is responsible for granting and removing employees’ access to the shared network drive locations (W: and X:)
- When an employee logs into their computer they will see the W: and X: drives however, until the DAC grants them the necessary access, they will not see any folders in those drives
What other systems do they need access to or functional training for? A few of the more common additional systems are listed below:
- Academic-Focus
- Canvas
- Zoom/Adobe Connect
- Panopto
- Classroom Equipment Training
- Administrative Focus
- Banner (INB, SSB, BRM)
- OnBase
- Point & Click
Do they have an active network port in their office?
- Each computer will need an active Ethernet port to connect to the ESU Network
- If you do not have an active network port in the office the employee will be located in, or are unsure if the port(s) is active, please contact the ITHelp Desk.
- Please note that there IS a charge associated with adding new network ports to an office.
Do they have an active phone port in their office?
- If you do not have an active phone port in the office the employee will be located in, or are unsure if the port(s) is active, please contact the ITHelp Desk.
- Please note that there IS a charge associated with adding new telephone ports to an office.
- Will this person need voicemail? If so, they will need to have that setup with the IT telecom team. There is a charge associated with these feature.
Is the new employee going to require a cell phone?
- Please work with IT if the new employee will require an ESU-provided cell phone.
- There is a fee associated with this service.
Does the new employee need to have their Hornet Card activated for any card swipe access doors in your department?
- Please contact the IT Help Desk to request user access to card swipe doors.
