The meeting was called to order at 10 AM. The meeting began with a welcome and introductions from all attendees.

The Grad Users Group

UIS Director Jacalyn Reisz provided opening remarks about BU’s efforts in information technology governance and the new emphasis by President Brown on transparency and resource management within the University. Special emphasis was placed on the importance of the Grad Users Group in assisting UIS inidentifyingneeds that are most important to the collective Graduate community.

The goals of the Graduate Users Group are:

  • Exploration and Understanding
  • ConsensusBuilding
  • Communication and Outreach
  • Evaluation and Recommendation

Graduate Enrollment Services Discussion

A round table discussion was held to discuss some of the current experiences and needs of users of graduate enrollment management services. A suggestion was made to create an online survey that would summarize the ideas discussed and poll users on future functionality and/or features that are a priority to their business process. Brad Peloquin agreed to create and send out the survey to members.

Future Grad Users Group Meetings

It was agreed that the Grad Users Group should meet more frequently than in the past, perhaps once per quarter. Using the last Wednesday of every third month as a guide, the following dates are proposed for the next three user group meetings:

  • Wednesday, May 27th 10am-11:30am
  • Wednesday, August 26th 10am-11:30 am
  • Wednesday, November 25th 10am-11:30am

The ability to call in to the meeting was requested and will be implemented for future meetings.

Grad Users Program Subgroup

It was proposed that a subgroup be formed to strategize priorities identified by the larger group. Thesubgroup would benchmark higher education enrollment management practices and contribute as a steering committee to the larger user group. Members of the subgroup would also serve as acommunication liaison to their school constituency.

The project subgroup would consist of one representative per school and meet more frequently then the entire Grad Users Group (once per month). Interest in participation of the project subgroup will be added to the survey and a project group will be formed.

Review of Recent Functionality Changes

UIS reviewed two recent enhancements to the graduate enrollment management tools: enhanced admissions record web functionality, and implementation of a time stamp in the data category downloads.
