Starting PowerPoint

1.  Start PowerPoint.

2.  Click Blank Presentation and then Create to begin a new presentation.

3.  PowerPoint will open in the Normal View, which will include the Title Bar, the File Menu, the Quick Access Toolbar, Ribbon Tabs, the Home Ribbon, and the Status Bar (across bottom).

4.  Clicking the File Menu will display Save, Save As, Open, Close, Info, Recent, New, Print, Save Send, Help, Options, and Exit.

5.  By clicking a different Ribbon tab, the groups below the Ribbon will change.

6.  By pointing the mouse at each item in the groups, you will get a ToolTip.

7.  To hide the Ribbon, double click the active tab. Click any tab to show the Ribbon.

Getting Help

1.  Click the Microsoft Office PowerPoint Help (F1) button on the upper right of the screen.

2.  Enter a topic in the Search textbook, and either press Enter or click the Search button.

Undo and Redo

  1. To undo an action, click on Undo button (arrow pointing to the left) on the Quick Access Toolbar, or press Ctrl + Z on the keyboard. You set the levels of Undo under PowerPoint Options (the maximum is 150).
  2. To redo an action, click the Redo button (arrow pointing to the right) on the Quick Access Toolbar, or press Ctrl + Y on the keyboard.

Setting Options

  1. Click the File Menu, and then click Options (below).
  2. You can set options for General, Proofing, Save, Language, Advanced, Customize Ribbon, Quick Access Toolbar, Add-Ins, and Trust Center.

Presentation Views

PowerPoint provides various ways to view a presentation:

1.  Normal View displays a pane on the left that can be used to switch between the Outline View and the Slides View. The Outline View displays the presentation in an outline format. This view allows you to edit text and to check the flow of ideas from one slide to another. The Slides View displays one slide at a time. This view allows you to edit objects on a slide.

2.  Slide Sorter View displays multiple slides at one time. This is useful for moving, copying, and deleting slides.

3.  Notes Page View displays each slide and any notes attached to it, one at a time. The Notes Page is useful for entering critical points you want to emphasize during a presentation.

4.  Slide Show View displays the slides as they will appear during a slide show.

5.  To switch between views, click on the View tab, and make your selection in the Presentation Views group. You can also click the Slide Show tab, and make your selection from the Start Slide Show group.

6.  You can also use the View buttons along the bottom right of the screen.

Using the Template Option

1.  Click the File Menu, click New, and then click Sample Templates, under Templates.

2.  Click each once template to preview.

3.  Click Create to open the template.

4.  To edit the text, click the placeholder. There will be hash marks and sizing handles around the box and a flashing cursor inside the box.

5.  The placeholder can be moved by clicking, holding, and dragging the placeholder hash marks (not the sizing handles).

6.  The placeholder can be resized by clicking, holding, and dragging one of the eight sizing handles.

7.  After entering the text, you can click, hold, and drag to select the text. Click the Home tab. You can select a Font, Font Size, Font Color, and Styles in the Font group. (NOTE: A font size of 72 equals one inch.)

8.  Click outside the placeholder to remove the hash marks and sizing handles.

Navigating Slides

1.  In the Normal View, and the Notes Page View, you can navigate through the slides by clicking on the Next Slide and Previous Slide buttons located at the bottom of the vertical scroll bar.

2.  You can scroll through the slides by using the up and down arrows on the vertical scroll bar.

3.  You can also drag the scroll button, located inside the vertical scroll bar, up and down. A ScreenTip will be displayed showing the number and title of each slide. When the mouse is released, the slide at that location will be displayed.

4.  In the Slide Show View, clicking the mouse once moves forward through the slides. Pressing the right directional arrow on the keyboard moves forward through the slides. Pressing the left directional arrow on the keyboard moves backward through the slides. You can also click the arrow buttons located at the bottom left of the screen. By clicking the right mouse button, you will get a shortcut menu with Next, Previous, etc. options that allow you to move to any slide in the presentation. If you choose Go to Slide on the shortcut menu, you can click any slide title to view.

5.  To end the Slide Show View, press the Esc key on the keyboard, click the right mouse button and select End Show, or go to the end of the show and click the mouse.

Rearranging Slides

In the Slide Sorter View:

1.  Click the slide you want to move. To select multiple slides, hold down the Ctrl key on the keyboard and click the slides you want.

2.  Click, hold, and drag the slide(s) to the new location.

3.  The slides will be renumbered.

4.  Click anywhere in a white space to deselect the slide(s).

Duplicating Slides

In the Slide Sorter View:

1.  Click the Home tab.

2.  Select the slide you want to duplicate. Hold down the Ctrl key on the keyboard to select multiple slides.

3.  Click the down-arrow on the New Slide button in the Slides group, and select Duplicate Selected Slides.

Deleting Slides

In the Slide Sorter View:

1.  Click the Home tab.

2.  Click the slide you want to delete. To select multiple slides, hold down the Ctrl key on the keyboard, and click the slides you want.

3.  Click Delete in the Slides group, press the Delete key on the keyboard, or click the right mouse button on the slide and select Delete Slide.

4.  If you want to undo the action, click the Undo button on the Quick Access Toolbar, or press Ctrl + Z on the keyboard.

Creating a Blank Presentation

1.  Click the File Menu, and select New.

2.  Click Blank Presentation in the Blank and recent section.

3.  Click Create (middle right of screen), and a blank title slide will be displayed.

4.  To enter text, click the placeholder. There will be hash marks and sizing handles around the box and a flashing cursor inside the box. Enter the text.

5.  The placeholder can be moved by clicking, holding, and dragging the placeholder hash marks (not on the sizing handles).

6.  The placeholder can be resized by clicking, holding, and dragging one of the eight sizing handles.

7.  On the title slide, the text you enter will be centered unless you select a different alignment in the Paragraph group (located under the Home tab).

8.  After entering the text, you can click, hold, and drag to select the text. Click the Home tab. You can select a Font, Font Size, Font Color, and Styles in the Font group. (NOTE: A font size of 72 equals one inch.) Click outside the placeholder to remove the hash marks and sizing handles.

Adding Slides

In the Normal View, Slide Sorter View, and Notes Page View:

By default, slides will be inserted after the current slide.

1.  Click the Home tab.

2.  Click the down-arrow on the New Slide button in the Slides group.

3.  In this case, we are going to select Two Content.

4.  If you select a layout that includes clip art, click on the clip art button to add the clip art.

5.  In the Clip Art task pane, type in a clip art theme, such as party, in the Search for: box, and click Go.

6.  Click the image you want, and it will be inserted.

7.  The image may be too large or too small, but it can be sized. Click the image to select it, and eight sizing handles around its border will be displayed along with the green rotate handle.

8.  Click, hold, and drag any of the four corner handles to size the image proportionately. The other handles will distort the image.

9.  You can rotate the image by clicking, holding, and dragging the rotate handle.

10. To move the image, click the image (not on a border or a sizing handle), hold, and drag.

11. To delete the image, click the image to select it, and press the Delete key on the keyboard.

12. You can copy the image from one slide to another by clicking the image to select it and then clicking on Copy in the Clipboard group (you can also use Ctrl + C on the keyboard or right-click the mouse and select Copy). Move to the slide on which you want to copy the image, and click on Paste in the Clipboard group (you can also use Ctrl + V on the keyboard or right-click the mouse and select Paste).

Applying a Theme

A theme is a set of unified design elements that provides a look for your document through the use of color, fonts, and graphics.

1.  Click the Design tab.

2.  While in the Normal View or the Slide Sorter View, point to each of the themes in the Themes group to see a preview.

3.  Click the More down arrow in the Themes group to view all the built-in themes.

4.  Click the theme to apply it to all slides.

5.  Right-click a theme for more options.

6.  To change the colors of the theme, click Colors in the Themes group.

7.  To change the fonts, click Fonts in the Themes group.

8.  To change the effects, click Effects in the Themes group.

Spell Checking

1.  If wavy red lines appear under words, then the automatic spell checking is active. To select a suggestion, right-click the word that is underlined with the wavy red line, and make a selection from the list.

2.  You can also check spelling by clicking the Review tab and then clicking on the Spelling button in the Proofing group. You can also click the Spelling button in the Quick Access Toolbar, if you have added it.

Slide Transitions

Slide transitions affect how a slide will appear during a slide show.

1.  Click the Transitions tab.

2.  While in the Normal View or the Slide Sorter View, select the slide to which you want to add a transition effect.

3.  Point to each of the transitions in the Transition to This Slide group for a preview.

4.  Click the More down arrow in the Transition to This Slide group to view all the transitions.

5.  Select a transition and click Apply To All in the Timing group, if you want to apply the transition to all slides. If you don't click Apply To All, the transition will be applied only to the currently selected slide.

6.  Click the down arrow to the right of Sound to select a sound

7.  Click the down arrow to the right of Transition Speed to select a speed.

8.  To advance the slide, you can select either On Mouse Click or After: (you must enter the amount of seconds).

9.  In the Slide Sorter View, under the affected slide/slides, will be a small button (star). If a time was selected, the amount of the seconds will be displayed. Click the star to preview the transition effect.

Adding an Animation Scheme

1.  Click the Animations tab.

2.  While in the Normal View, select the slide that you want to animate.

3.  Click the object (placeholder) you want to animate. There can be only one animation per object (placeholder). There will be hash marks and sizing handles around the box, and a flashing cursor inside the box.

4.  Click the down arrow to the right of Animate in the Animation group. Point to each animation for a preview.

5.  Click the animation to select it.

6.  Click the Slide Show tab to view the animation in the slide show.

7.  To move forward through the animation, press the right, or down, directional arrow on the keyboard, press the space bar, or click the left mouse button. To move backward through the animation, press the left directional or up arrow on the keyboard.

Adding Customized Effects

1.  Click the Animations tab.
