JOB DESCRIPTION
Job Title: Fundraising Administrator
Responsible to: Head of Fundraising and Marketing (HFM)
Hours:20 - 25 hrs per week – flexible, to meet the demands of the role
Salary: £7.50 per hour
MAIN PURPOSE
To support the fundraising and marketing team to maximise fundraising income across a range of income streams, including community, corporate, individuals, legacies and events.
To work as a key member of the team, undertaking administrative tasks, and where required, assisting with event organisation and promotion to ensure the fundraising targets are achieved.
Main duties
- To be a first point of contact for all fundraising enquiries, handling calls in a professional manner.
- To ensure all supporters receive excellent supporter/customer care.
Events
- To work alongside the Fundraising & Marketing Team in planning and delivering successful fundraising events as required
- To work closely with the marketing team to promote fundraising events as required.
- To attend fundraising events as agreed in advance and support the team
- To manage AUKS online giving sites including Justgiving and Virgin Money Giving
Community
- To work closely with Age UK on national brand partner projects
- To co-ordinate mailings, promoting services, events and opportunities for support.
- To maintain an up to date list of collection pot locations including collecting them in and thanking supporters appropriately
- To co-ordinate the recruitment and management of fundraising volunteers to support the team by creating a volunteer/friends network to advocate the work of the charity
- To be the first point of call for local community groups, arranging visits and talks and identifying the most appropriate action/person to deliver information
Individual Donors & Legacies
- To assist the HFM in sending out donor communications as part of an annual giving programme to maximise retention of supporters and income.
- To maintain an up to date database of all legacies received and notified of.
- To assist with the promotion of the Legacy Campaign as required.
Trusts & Grants
- Work alongside the HFM and Fundraising Team to co-ordinate a record of all possible trust and grant providers and keep these records updated.
2. Personnel
- To work collaboratively and supportively with other members of the team.
- To attend team meetings as required and contribute ideas for the further development of the strategy and team activities.
- There is no specific line management responsibility.
3. Finance
- To comply with the organisation’s financial and administrative procedures.
- To assist in ensuring all events and activities are run in an efficient, cost effective manner.
- To ensure that all money handling is in accordance with the finance regulations, and is recorded accurately complying with the organisation’s financial and administrative procedures.
4. Quality Assurance
- Ensure work is carried out in accordance with any quality assurance system, service standards or agreed targets in place
- To monitor and evaluate performance against standards and/or performance targets and report accordingly to the HFM.
- Follow nationally accepted fundraising standards at all times
5. External Relations
- Ensure that everyone that the post holder comes into contact with whether in person or by telephone or other form of communication (regardless of their attitude) are dealt with in a friendly, courteous and efficient manner as expected of a caring organisation.
- Develop and maintain good working relationships with individuals and organisations in the statutory, voluntary and private sector as appropriate and required for the role.
- Represent the organisation at events as required and positively promote its work .
- Build relationships with networks to appropriately promote and seek publicity for the organisation.
